Job Description:
The HR Associate is a crucial, hands-on role providing dedicated administrative and operational support across core HR functions, focusing on data entry, process execution, and employee assistance. The position is primarily responsible for the accurate and timely handling of administrative tasks such as processing employee claims, maintaining data integrity in the HRIS, and supporting day-to-day HR operations. This role serves as a key point of contact for routine employee inquiries and assists in specialised areas, including liaising with external mobility vendors to manage the documentation and logistics for expatriate matters. The Associate plays a vital part in ensuring HR efficiency, compliance with foundational policies, and contributing to a positive employee experience through organized and reliable support.
Key Responsibilities:
Provide day-to-day support to employees on HR-Related matters.
Manages new hires Onboarding (new joiner kit, document collection to be shared with C&B, buddy identification, Day-1 briefing).
Maintains employee confidence and protects operations by keeping Human Resource information confidential.
Maintains training records for entities specific on soft skill training and myPULSE (Workday) e-learning training report.
Liaise with government bodies (Perkeso & MAB Office) etc. on administrative matters related to staff of the entity and adhere to statutory compliances.
Liaise with government agencies (ESD, Immigration, etc.) on travel applications and all other matters related.
Focal point and manage end-to-end applications of work permit, professional visit pass and any related pass applications for foreign employees, visitor, student, etc.
Assist employees with document requests (employment verification, business travel letter, official document request). Assist employees on matters related to leave replacement (OIL credit in BIPO)
Processes overtime calculation and assists in providing accurate payroll input data every month to HRBP before submission of payroll input report to C&B.
Prepare the Purchase Requisitions on behalf of the department.
Verify and approve monthly / recurring invoice (manpower subcontracting, flower basket, fruit delivery etc) charges before payment processing.
Initiate flower basket and fruit basket delivery to employees as when requested by managers / team leaders.
Assist resigning employees’ document preparation (acceptance of resignation, calculation, exit interview form, return of company asset i.e. laptop, work ID).
Participate and involve in HR Projects.
Oversee the administrative duties for the company social club or employee welfare events, supporting a positive workplace culture.
