The Colleague Services Immigration Analyst supports the administration and execution of immigration-related processes within HR Operations. This role partners closely with field HR representatives, HR Business Partners, Legal Counsel, and external vendors to ensure accurate and timely processing of I-9s, reverifications, and employment authorization matters.
The Analyst is responsible for maintaining compliance with established processes, supporting service delivery, and contributing to continuous improvement initiatives. This role collaborates with global Colleague Services teams and supports standardized immigration practices across the organization.
The Analyst demonstrates a willingness to learn and build working knowledge of systems such as Equifax, Workday, ServiceNow, the Colleague Service Center platform, and Gene AI. The role focuses on operational excellence, accurate case handling, and delivering a positive colleague experience.
The Analyst reviews metrics and dashboards to identify trends and areas for improvement and applies Practical Process Improvement (PPI) tools to support process enhancements. This position works under general guidance and escalates complex matters as appropriate.
Responsibilities:
Process and support I-9 transactions, reverifications, and employment authorization documentation in partnership with the immigration team
Coordinate with the I-9 vendor (Equifax) and support resolution of routine processing issues
Support the partnership between the Colleague Service Center and external Legal Counsel on immigration-related matters
Handle moderately complex cases and escalate high-risk or sensitive issues appropriately
Review dashboards and reports to ensure service levels and compliance standards are met
Contribute to process improvement initiatives by identifying opportunities to enhance efficiency and service quality
Document procedures and maintain accurate process documentation
Partner with HR Operations, Field HR, and COE teams to support implementation of process updates
Participate in knowledge-sharing efforts to strengthen team capability
Provide guidance and informal support to junior team members as needed
Develop a trusted advisor relationship with key stakeholders through efficient, high-quality execution of integration activities
Document Blueprint processes and procedures and builds organizational capabilities through knowledge sharing, education, and training (or managing the training) of key stakeholders in new and improved Colleague Services processes
Minimum Requirements/Qualifications:
Minimum of 3 years of experience in HR Operations, Shared Services, or a multi-channel solutions center
Experience working in a call center or HR Shared Services environment preferred
Working knowledge of immigration processes, I-9 compliance, and employment authorization requirements preferred
Ability to interpret and communicate policies and procedures clearly
Strong customer service orientation
Demonstrated critical thinking and problem-solving skills
Strong organizational skills with the ability to manage competing priorities
Ability to run basic reports and interpret operational metrics
Experience using HR systems (e.g., Workday, ServiceNow, or similar platforms) preferred
Strong collaboration and communication skills
Legal or compliance exposure preferred but not required
Non-Negotiable Hiring Criteria:
BA/BS or equivalent combination of education and experience in Human Resources, Benefits, Payroll, or related field
Strong interpersonal and communication skills, with the ability to work in cross-functional environments
Proficiency in Microsoft Office Suite and experience working with an HRIS system
