Job Description
Office & Admin management
- Greet clients and visitors in a professional manner.
- Administer the conference room booking system.
- Manage all aspects of office operations, including coordinating courier services and mail distribution, maintaining adequate office supplies, overseeing facilities (lease management, utilities, pantry services), managing office equipment, and maintaining systematic document filing.
- Continuously optimize administrative processes to enhance efficiency and effectiveness.
- Manage the office administration budget responsibly, focusing on fiscal control and justification of costs.
- Provide high-level executive support to senior leaders, including managing expense reports, coordinating travel schedules, performing document translation, and offering other necessary local support in Shenzhen.
Vendor Coordination and Management
- Serve as the primary liaison for all office vendors (e.g., stationery, office supplies, cleaning services, minor repairs, water/coffee suppliers, and other essential office services) to ensure seamless daily operations.
- Negotiate contracts and proactively manage service-level agreements (SLAs) with vendors to ensure cost-effectiveness and quality of service.
HR Management & Employee Experience
- Provide support for the end-to-end internship recruitment process.
- Administer the new joiner onboarding and employee offboarding processes.
- Handle leave and benefits administration accurately and in a timely manner.
- Organize and execute local office monthly staff activities and manage office relocation/renovation projects.
- Assist the Hong Kong Headquarters (HKHQ) in organizing larger corporate events.
- Champion and drive employee engagement by developing and leading initiatives that foster a positive, collaborative, and high-performance workplace culture.
Requirement
- Minimum 2 years administration experience in a consumer-facing environment is preferred.
- Experience in an international company / multicultural teams.
- Excellent customer services manner and strong communication skill.
- Proficient in MS Office, proficiency in Google Suite is a plus.
- Excellent verbal communication skills including written and spoken English and Chinese.
