Job Summary
The Operations Project manager’s primary responsibility is driving operational excellence and ensuring compliance throughout the budget management lifecycle—from forecasting to reconciliation—for HP’s internal creative studio. This role partners closely with cross-functional teams to support the successful execution of financial processes, enabling the delivery of global campaigns and new product launches. In addition, this role will support critical onboarding activities related to agency partner studio needs. The ideal candidate brings strong analytical skills, financial acumen, and the ability to collaborate across departments to ensure accurate, efficient, and timely operations.
Key Responsibilities
Lead budget planning, forecasting, tracking, and reconciliation for the internal agency, ensuring accuracy, completeness, and compliance with HP’s financial policies and procedures.
Provide analytical support for complex budget projects, including detailed Statement of Work (SOW) planning, purchase order (PO) initiation, and change order management.
Estimate quarterly favorability/unfavorability based on forecasts and monitor actual performance against budget, identifying and explaining variances.
Manage planning and budget-to-actual comparisons by business unit/function and across the studio.
Generate and distribute monthly budget reports by business unit/function, tracking and addressing change order needs.
Prepare and present financial analyses and presentations for leadership meetings and department leads.
Oversee vendor POs, responding to both planned and ad hoc financial requests, and providing timely financial insights.
Build and maintain strong relationships with business leads and key financial managers to gather input, ensure alignment, and support decision-making.
Operate with autonomy, demonstrating meticulous attention to detail and accuracy in all operations.
Support continuous improvement of financial processes and tools within the agency.
Oversee billing and renewal activities for Studio tools and software licenses, working closely with Studio Ops Lead and HP Digital Vendor Management to ensure timely renewals and updates, preventing any service interruptions.
Manage onboarding and offboarding activities for HP Studio employees and agency team members, including maintaining up-to-date staffing records and ensuring appropriate access to key HP Studio platforms—including HP DAM, SharePoint, Teams, Figma Connect, Workfront and Alliance Portal—by granting or revoking permissions as needed.
Qualifications
Bachelor’s or graduate degree in Marketing, Communications, Business Administration, or a related discipline; or commensurate work experience/demonstrated competence.
Preferred: Experience in budget planning and management within a marketing or creative environment.
Experience of 4-7 years.
