Are you highly organized, detail-oriented, and comfortable managing multiple workflows at once? We are looking for a Home-Based Order Entry Specialist to support a growing U.S.-based promotional products business. In this role, you will play a key part in managing order-related communications, artwork and proof coordination, vendor interactions, and customer support to ensure orders move smoothly from submission to production.

REQUIRED CORE COMPETENCIES

WHAT YOU WILL DO

Administrative Support

  • Monitor and manage two designated email inboxes, ensuring timely review, prioritization, and responses

  • Route inquiries to appropriate internal stakeholders and follow up to ensure resolution

  • Maintain organized records of correspondence, artwork files, proofs, and approvals

  • Provide general administrative support to support daily operations

Artwork & Proof Management

  • Receive and review artwork files for accuracy and completeness prior to submission

  • Coordinate the proofing process with vendors and internal stakeholders

  • Track proof approvals, revisions, and final confirmations to meet deadlines

  • Maintain version control and ensure only approved artwork proceeds to production

Vendor Coordination

  • Serve as the primary point of contact for vendors regarding artwork-related questions

  • Communicate revisions, approvals, and production instructions clearly and accurately

  • Follow up with vendors to confirm receipt of artwork, proofs, and approvals

  • Escalate issues or delays to internal stakeholders when necessary

Customer Support

  • Respond promptly and professionally to incoming customer phone calls

  • Handle live customer inquiries via phone and other real-time channels

  • Provide accurate information and resolve issues efficiently

  • Document interactions and update customer records accordingly

  • Escalate complex concerns to the appropriate team while maintaining excellent customer experience

WHAT WE LOOK FOR

  • Education: Bachelor’s degree in Marketing, Communications, Business Administration, or a related field.

  • Experience: 1–3 years of experience in Customer Service, Marketing, Promotional Sales, or related roles

SOFTWARE THAT WILL BE USED

  • Promotional industry-specific platforms (e.g., Sage, ESP, CommonSku, Syncore)

  • Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)

  • Google Workspace (Google Sheets, Gmail, etc.)

ROLE DETAILS

  • Industry: Promotions

  • Work Shift: 8:00 AM – 5:00 PM CST (USA)

  • Workdays: Monday through Friday (USA)

  • Written and Spoken English Skill: Very Proficient

  • Salary Range: PHP 30,000 – 35,000
