The DCX Client Services Home-Based Executive Assistant will be the key player in supporting the executives' day-to-day by providing executive-level administrative support and ensuring smooth operations within the organization. With a focus on multitasking and attention to detail, you will have the opportunity to work on a variety of projects and be a key member of our client's team. WHAT YOU WILL DO 

  • The primary goal is to help take things off the Client's plate and minimize distractions so that they can focus on the more important tasks that are a higher and better use of my time. Be professionally assertive.
  • Own and manage two primary email accounts. Filter through what can be deleted, what can handle independently, what can handle without input from the client, and what they need to address. Ensure all requests are followed up on in a timely manner.
  • Own and manage four calendars. VA will be able to see all calendars for availability and can edit two of them. Coordinate scheduling with third parties, ensure no scheduling conflicts exist and help defend a certain amount of time for work outside of meetings. 
  • Collaborate within shared to do list(s) to track and assign all tasks
  • Client anticipates short, once- or twice-daily check ins to make sure they are coordinating well, and/or communication throughout the day via WhatsApp or a similar means other than email.
  • Track due dates for all bills and ensure that they are paid on time. This will include paying some that can be paid online, by phone, or by mailing checks through QuickBooks.
  • Track all time through our QuickBooks Workforce account to ensure sufficient hours are works and to facilitate billing our clients for any work you do for them.
  • Pull monthly reports for all division employees out of QuickBooks Workforce and use this data to generate client invoices.
  • Coordinate personal appointments and other items such as doctor's appointments, family events, dog boarding, etc.
  • Coordinate as needed/appropriate with third parties such as employees, clients, property manager, attorneys, accountant, etc.
  • Travel planning and booking.
  • Record all standard operating procedures and other helpful information. We have a VA manual of sorts, but I'd like this to be a living document that gets edited and expanded over time.
  • Assist with administrative tasks for third-party consulting clients.
  • Some social media
  • Other administrative tasks as may be required.

 

WHAT WE LOOK FOR 

  • Education: Bachelor's degree in Business Administration, Communications, or a related field 

  • Experience: 1-3 years of proven experience as an Executive Assistant, Executive Assistant for a C-Suite level report, or other relevant administrative support experience. 

  • Language Proficiency: Strong verbal, written, and English communication skills. 

  • Working schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours 

  • Technical Skills: Proficient with Microsoft Office Suite or equivalent software, with the ability to learn new or updated software. 

  • Industry Specific Software/Knowledge:   

  • Exposure to project management tools. 

  • Someone who is highly organized, proactive, and detail-oriented 

  • Ability to function well in a high-paced and, at times, stressful environment. 

  • Ability to organize a daily workload by priorities. 

 

WHAT WE OFFER 

  • Salary Range: Php 43,000- Php 48,000  

  • Job Type: Full-time 

  • Work Shift: 8:00 AM - 5:00 PM CST (USA) 

  • Workdays: Monday through Friday (USA)
