Job Description
Job Title: HOA Supervisor
The HOA Supervisor is fully accountable for the performance of the dedicated HOA team which is a combination of on-shore and off-shore resources. They are the first level people manager for the employees accountable for day-to-day oversight and performance according to a defined set of KPIs. Managing the HOA Specialists includes their day-to-day priorities and performance, task delegation and ensuring completion of tasks. You will need strong attention to detail, analytical capability, computer confidence, and follow-through skills to interact directly with third party HOA and City organizations.
Skills & Competencies:
- 3+ Property Management and HOA experience required.
- 2+ years of supervisory experience including hiring, performance management and team accountability.
- Experience in single family, multi family or student housing, a plus.
- Experience handling violations, compliance and regulatory workflows.
- Ability to motivate and influence team to strong results
- Experience or familiarity with Salesforce, preferred
- Demonstrates strong organizational skills with a strong attention to detail.
- Intermediate knowledge of Word, Excel and PowerPoint; advanced preferred
- Demonstrated strong written and verbal communication skills
- Demonstrated customer service skills in fast paced environment
- Detail oriented, with the ability to produce high quality work in a deadline-oriented environment and an ability to multi-task
- Ability to prove critical thinking, problem solving concepts and ability to improve processes for the efficiency of the department.
Essential Job Functions:
- Developing and maintaining process improvements for the HOA Department to ensure the utmost efficiency on the team.
- Train, coach, develop current and new team members to be up to speed in day-to-day responsibilities.
- Management of HOA specialist to KPIs for daily performance.
- Managing HOA and City Violations in a timely manner on a daily basis.
- Managing the Maymont HOA inbox on a daily basis.
- Leading all HOA and City questions within Maymont Homes.
- Ensuring all appropriate chargebacks and HOA Admin fees are applied to tenant ledgers.
- Assisting Leasing with management of HOA Welcome Packs for new and renewal residents.
- Ensuring an accurate and up-to-date HOA database in CMS and/or Salesforce.
- Updating HOA records for any missing HOA contact information and CC&Rs.
- Managing the collection of HOA Pool passes and Gate codes.
- Producing a quarterly HOA Resident newsletter to nurture HOA awareness.
- Reviewing HOA credentials for all new HOA onboarding to ensure legitimacy for payment processing.
- Working closely with the HOA AP Team (who are responsible for paying HOA dues).
- Proactively reviewing violation processes for continuous improvements.
- Working with cross functional teams (Maintenance, Accounting, Field Teams, Construction Analysts, MoMs, and Legal) to maintain and monitor HOA and City compliance.
Key Metrics & Responsibilities
- 24-hour response to violations.
- 200 HOA inbox reviews/week completed <72 hours
- 50 HOA or City Violations processed/week
- HOA or Resident inbound calls: Call quality <85%
- Ongoing audit to update CMS CC&R records for accuracy on 5,400 CMS properties.
Physical Requirements
- Capable of working extended hours, including evenings, weekends, and holidays, as necessary.
- Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed.
- Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, to include the exchange and receipt of information over the telephone.
- Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying, and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs, if necessary, to include attic and crawlspace access.
- Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.
- Must be able to work in small and confined spaces for extended periods of time.
- Must have finger dexterity for typing/using a keyboard.
Environmental Requirements
- Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employees must remain alert to working conditions and aware of safety, health, and environmental concerns.
- Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.
- Must be able to work efficiently and effectively in a remote and on-site manner, as regularly scheduled.
