JOB TITLE: HIM Tech (Ambulatory Specialist): Finger Lakes Medical   Associates in Geneva -   (Full time Day Shift)

HOURS PER WEEK: 40

SCHEDULE: Flexible 7-3:30, 7:30-4m 8-4:30 or 8:30-5

Position Summary:

Maintains the confidentiality, security and integrity of medical records according to Rochester Regional Health policies along with State and Federal regulations. Duties include application of a variety of work methods, familiarity with department and the following of pertinent policies, practices, procedures and government regulations. Supports the daily operations of the practice by ensuring that patient needs are being met. Performs a variety of duties to include, but not limited to data entry, scanning, faxing, copying, mailing, phone calls, chart boxing, provided direction and training to team members as instructed by leadership. Assists in a customer service manner by interacting with patients, families/personal representatives and RRH Staff.

        

ATTRIBUTES

  • High school Diploma
    • Associates Degree in Health Information Management, Business, IT, or other healthcare related field, preferred
    • Release of Information Micro credential preferred
    • Proficiency in one or more of the following computer systems: Epic electronic medical record system, Cerner, Meditech, or other third party electronic medical record system.
    • Proficiency in Microsoft Office - Word, Excel, Outlook, Teams and PowerPoint
    • Experience with Adobe Pro, Adobe Distiller, and Document Management systems preferred
    • Excellent literacy skills
    • Strong organizational skills and detail orientation
    • Excellent computer and customer service skills
    • Knowledge of state and federal regulations regarding health information
    • Ability to work under pressure with time constraints
    • Ability to maintain confidentiality
    • Ability to work autonomously, multi-task and prioritize effectively

RESPONSIBILITIES

  • Customer Service
    • Manages incoming calls while providing necessary information.
    • Greeting patients and/or their personal representatives and providing directions as needed.
    • Communication with external customers such as but not limited to Payers, physician offices and other department.
    Faxing /Faxing Work Queues
    • Monitors fax-in work queues and/or machines for incoming documents.
    • Prints out any requests for information/forms for completion.
    • Appropriately distributes documents in a timely manner for review or completion.
    • Sends appropriate information through outgoing faxes.
    Release of Information
    • Analyzes an authorization for medical information/PHI to evaluate for HIPAA compliance prior to processing.
    • Receives and processes continuity of care, Medical Examiner, and referral requests for patient health information in accordance with company, state, and federal guidelines.
    • Uses clear language to help internal and external customers understand the specific laws and/or regulations or policies and procedures that pertain to the release of PHI.
    • Retrieves, sorts, and distributes mail daily
    • Enters release of information requests into the ROI module daily to ensure timely processing by the centralized HIM department.
    • Completes releases for non clinical portions of various forms such as disability.
    • Obtains pre-certification/authorizations for referrals.
    HIM Inbasket Messaging
    Monitors and acts on Inbasket messages
    Scanning
    • Prepares medical records for imaging according to scanning policies and procedures.
    • Scans documents into appropriate systems in accordance to department scanning policies.
    • Indexes scanned documents according to department policies and data integrity guidelines.
    • Conducts quality check upon the scanning and indexing of medical records.
    • Conducts imaging audits to ensure scanning procedures and guidelines are upheld.
    • Insures any document flagged for correction is prioritized, reviewed for accuracy, and corrected according to department scanning policy.
    • Monitors scanning corrections work queue’s and assures timely follow up.
    • Works collaboratively with the scanning/indexing vendor on the correction of errors.
    • Prepares, indexes, and retrieves records from storage following established RRH policies and procedures.
    • Requests paper charts from off-site storage in a timely and efficient manner. Tracks and ensures all paper chart requests are received, and subsequently returned to the off-site storage vendor.
    • Understands federal, state and organizational destruction guidelines.
    • Ensures established business document and medical record retention and destruction policies and guidelines are followed.

    Misc.
    • Ensures medical records maintain quality, accuracy, accessibility and security in both paper and electronic systems.
    • Participates in cross coverage support of other appropriate function based areas as needed and at the discretion of the manager

The listed base pay range is a good faith representation of current potential base pay for a successful full time applicant. It may be modified in the future and eligible for additional pay components. Pay is determined by factors including experience, relevant qualifications, specialty, internal equity, location, and contracts.
