This role supports both the Optical and Pharmacy Operations and Compliance teams to help deliver safe, effective, and compliant healthcare services.
The postholder provides administrative, coordination, and data support to Operations and Compliance Managers, helping manage incidents, requests, NHS contractual administration, inspections, and professional standards.
The role also plays a key part in supporting service planning and professional events, ensuring effective organisation, communication, and follow‑up across Optical and Pharmacy.
Support the Operations and Compliance Manager with both Optical and Pharmacy quarterly and annual NHS complaints reporting
Triaging and managing Optical and Pharmacy compliance inboxes
Provide administrative support to the Optical and Pharmacy team for CPD activity, professional training and engagement events, including planning, logistics, and coordination
Support event planning activities, including meeting organisation, attendee coordination, materials preparation, and post‑event actions
Work closely with the Healthcare Analytics Co‑ordinator and Commercial Trading Assistants to ensure accurate data and information sharing
Support the Operations & Compliance team with store communications across Optical and Pharmacy
Assist with incident management administration, including correspondence, logging, monitoring, and closure
Triage and support customer and NHS complaints
Produce weekly and monthly reports from incident management platforms
Conduct Summary Care Record access reviews on a monthly basis
Support incident reporting to the NHSE
Manage change of hours applications to the NHS (Bank Holidays and Christmas)
Maintain accurate records to support inspections, audits, and compliance activity
Support in completing Professional Compliance checks
Review monthly Safeguarding data and cascade information
Highly computer literate with strong Microsoft Office skills - Outlook, Word, Excel, PowerPoint
Experience or interest in a Healthcare environment (Optical or Pharmacy)
Strong organisational and administrative skills
Good communication skills with confidence working across multiple teams
High attention to detail and strong numeracy skills
