Job Summary
Responsible for supporting the Health Access and Engagement (HAE) Team to provide program, event, and operational coordination. This role manages vendor applications and vetting, event and program logistics, and supports clinical health equity and research coordination activities. In addition, this role oversees essential office operations such as scheduling, correspondence, and onboarding logistics to ensure the team functions effectively.MINIMUM QUALIFICATIONS
Education: Bachelor’s Degree in related field preferred

Experience / Knowledge / Skills:
Three (3) years of related experience coordinating programs, events, or operations in a complex environment. Healthcare, academic, hospitality, higher education, or large-scale event management industries preferred.
Must have the ability to perform complex and diverse coordination duties that involve application of departmental/organization procedures, independent analysis, proactive and self-directed management of deadlines and tasks, interpretation of data and demonstrated appropriate judgment.
Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) required.
Experience with collaboration tools and event platforms (e.g., Teams, Zoom, WebEx).
Strong planning and organizational skills. Must be able to effectively prioritize work to meet tight deadlines while executing high quality deliverables.
Effective oral, presentation, and written communication skills. Must be able to collaborate effectively with internal and external stakeholders to collaboratively accomplish work tasks.
Ability to work effectively both independently and as part of a team.
PRINCIPAL ACCOUNTABILITIES
Key Responsibilities
Vendor & Financial Coordination
Facilitates the vendor application, vetting, and onboarding processes on behalf of the HAE department in partnership with vendor management, legal and compliance teams.
Supports procurement, contracts, honorariums, and sponsorships for related programming.
Tracks and manages programmatic expenses, reimbursements, and budgets.
Event & Program Logistics
Coordinates in-person and virtual initiatives including cultural observances, training sessions and forums.
Oversees logistics such as scheduling, registration, room set-up, catering, décor, participant materials, technology support, and communications.
Partners with internal and external stakeholders to execute on event and program logistics.
Supports pre- and post-initiative data collection, evaluation surveys, and reporting to assess impact and guide improvements.
Clinical Health Equity & Research Coordination
Provides logistical support for clinical research and health equity initiatives (e.g., scheduling research sessions, coordinating materials, participant communications, compliance documentation).
Supports the coordination of presentations, abstracts, and research reports as needed.
Ensures alignment of logistics with research integrity and organizational policies.
Operational Coordination Support
Manages office functions including travel coordination, expense reimbursements, and supply ordering.
Monitors shared inboxes and correspondence, ensuring timely responses and escalations.
Provides onboarding assistance for new team members, coordinating with Human Resources (HR) and Information Technology (IT).
Prepares materials and reports for leadership, including support for Monthly and Quarterly Operating Reviews.
Continuously reviews administrative processes for efficiency and recommend improvements.
Collaboration & Service Excellence
Partners across departments (ISD, HR, Finance, Supply Chain, Research, Patient Experience, etc.) to streamline operations.
Serves as a resource to Employee Resource Groups (ERGs), providers, and staff participating in Health Access & Engagement programming.
Models organizational service standards and contributes to a culture of inclusion and accountability.
Ensures safe care to patients, staff and visitors; adheres to all Memorial Hermann policies, procedures, and standards within budgetary specifications including time management, supply management, productivity and quality of service.
Promotes individual professional growth and development by meeting requirements for mandatory/continuing education and skills competency; supports department-based goals which contribute to the success of the organization; serves as a resource to less experienced staff.
