PURPOSE OF POSITION: The Group Rooms Coordinator plays a key role in delivering a seamless group lodging experience across The Lodges at Deer Valley portfolio. This position is responsible for all group reservation-related functions, including room block set-up and management, reservation monitoring, client communication, and coordination with Conference Services, Catering, and Reservations teams.

RESPONSIBILITIES:

  • Review and audit all assigned group room blocks, rates, and concessions against contracts in Maestro and Inntopia once groups are definite.
  • Manage reservation calls and email inquiries across multiple properties, providing consistent, high-quality guest and client service.
  • Create and manage Inntopia Deer Valley booking links to support client and group reservation processes.
  • Enter and maintain group rooming lists and serve as the primary point of contact for client communications related to guest room reservations.
  • Ensure accurate and sufficient inventory is available for individual call-in groups across all designated booking channels.
  • Monitor group pickup, cut-off dates, room type availability, and rates in both Maestro and Inntopia to maximize revenue while ensuring guest satisfaction.
  • Verify that room blocks align with group patterns and that room type allocations flow correctly throughout the duration of the block.
  • Ensure accurate billing configurations to support timely and precise invoice processing.
  • Identify, block, and process staff, VIP, and complimentary room reservations for each group in collaboration with appropriate teams.
  • Partner with Conference Services Managers on rate review, cutoff adjustments, and requests for additional group inventory.
  • Process all group-related deposits in accordance with contract terms and internal procedures.
  • Coordinate pre- and post-group individual pay reservations as needed.
  • Track and regulate the use of contractual room concessions, such as complimentary rooms or upgrades, and communicate usage to relevant departments.
  • Provide administrative and operational support to Conference Services Managers for group-related needs.
  • Coordinate wedding welcome bag deliveries and assist with the creation of wedding resumes.
  • Calculate and post promotional group room revenue in Salesforce to ensure accurate reporting.
  • Other duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent required; post-secondary education or related work experience preferred.
  • Previous experience in hotel reservations, group housing, or conference services strongly preferred.
  • Ability to work a flexible schedule, including varying shifts, to meet the seasonal and operational needs of the hospitality industry.
  • Commitment to attending required training sessions and meetings.

DATES OF EMPLOYMENT:

  • Year Round

PAY RATE:

  • $55,000 – 60,000 annually, dependent on experience
  • Incentive plan eligible
