Job Summary
The Grants Facilitator & Writer contributes to the development, maintenance and advancement of research projects at the Institute for Global Health at BC Children’s & Women’s Hospital (IGH-CW) in collaboration with the Department of Anesthesiology, Pharmacology and Therapeutics.

This position is responsible for a variety of duties related to scientific writing and coordinating the submission of grant funding proposals, as well as preparing written and communication materials for IGH-CW. This position plays a central role in grant seeking, proposal development, and strategic research support, helping faculty, researchers, and partners design high-impact global health projects and secure competitive funding from national and international sources. Responsibilities include but are not limited to writing, identifying, developing, and preparing academic manuscripts, research grant and other academic proposals, letters of intent, background documentation, research program rationales, ethics submissions, budgets and budget justifications, and other promotional documents.

Work Performed
1) Grant Development and Coordination

  • Identify and track relevant funding opportunities from government agencies, foundations, and international organizations, including but not limited to: CIHR, MSFHR, NIH, GCC, Horizon Europe, Gates Foundation, Wellcome Trust

  • Coordinate and support the full lifecycle of grant development — from concept to submission.

  • Supports in the post-award transition after successful grants have been awarded to implementation by research teams

  • Develop project timelines, checklists, and submission plans to ensure timely and compliant applications. Ensures timely and accurate submission of all materials and proposals.

  • Facilitate interdisciplinary collaborations among investigators, clinicians, and global partners.

  • Communicates and liaises with industry sponsors, granting agencies, coordinating centres, study sites, Research Ethics Board (REB), Innovation UBC, Office of Research Services (ORS), Research Finance, UBC Faculty of Medicine and Research Institutes.
    Maintains pre- and post- award archives.

2) Proposal Writing and Editing

  • Research, write, and edit high-quality grant proposals, letters of intent, and supporting documents.

  • Translate complex scientific and technical concepts into clear, compelling narratives.

  • Review and refine proposals for clarity, consistency, and alignment with funder priorities.

  • Provides layout and formatting recommendations according to grant agency requirements.

  • Maintain and update templates, boilerplate language, and key institutional information.

  • Develops the budget for multi-country research projects during the proposal stage in conjunction with investigators at UBC and in multiple other countries

  • Develop clarity regarding statistical and research methodology and translate concepts into clear narratives

3) Strategic Research Support

  • Advise faculty on funding strategies and sponsor priorities in global health and development.

  • Perform grant analysis to determine the feasibility of application success.

  • Preparation of budgets and justifications in collaboration with finance teams.

  • Develops the budget for multi-country research projects during the proposal stage in conjunction with investigators at UBC and in multiple other countries

  • Ensure compliance with institutional, ethical, and sponsor policies for global research projects.

  • Support post-award activities such as progress reporting and knowledge translation materials.

4. Partnership and Capacity Building

  • Strengthen relationships with internal and external partners, including university collaborators, NGOs, and government agencies.

  • Support capacity building in grant writing among junior researchers and trainees.

  • Represent the Institute in meetings, workshops, and international collaborations related to research funding.

5. Additional related work

  • Writes, edits and coordinates a range of clinical and health research-related ethics applications, business cases, progress reports, research summaries, and plain-language documents.

  • Writes, edits, and coordinates production of a variety of content and material for internal and external publications, digital and social media channels.

  • Develops standard operating procedures for pre and post grant approval activities

  • Reviews overall quality, consistency, factual accuracy, and effectiveness of communication materials and grant applications.

  • Supports the development and logistics of individual, multidisciplinary, and multi-institutional funding applications.

  • Responsible the preparation of, and collating materials (e.g. curriculum vitaes, letters, budgets, appendices etc.) related to funding proposals, grant submissions, and progress reports.

  • Other duties as may be assigned.

Consequence of Error/Judgement
The incumbent must be able to work independently and collaboratively and exercise sound judgment. Errors in performance of assigned duties could significantly impact the research projects. There are time-sensitive matters with deadlines that must be met and failure to meet deadlines could have negative effects on research opportunities, and internal and external relations. A high level of accuracy, a thorough understanding of policies and procedures, the ability to anticipate, investigate and resolve problems, while managing competing priorities are essential.

Supervision Received
Works under minimum supervision and with independence.   Support from Investigators and Research Managers will be provided to solve complex challenges. The Grants Facilitator & Writer will work alongside and assist medical residents, postdoctoral fellows, software developers, and research staff. This incumbent is expected to work independently within established objectives and to exercise initiative and sound judgment in carrying out all work-related responsibilities.  

Supervision Given
The Grants Facilitator & Writer will serve as a resource for other research staff members and may have supervision over one to three research assistants and/or students at lower classifications.

Preferred Qualifications

Experience:

  • Scientific writing and research development

  • Minimum of four years of related experience in research analysis, or the equivalent combination of education and experience

  • Related experience in research services and research contract development is an asset

  • Knowledge of population health promotion and familiarity with the area of global health

Qualifications:

  • Strong professional communication experience

  • Related grant writing or research administration experience

  • Excellent organizational, written and verbal communication, and interpersonal skills

  • Strong problem-solving skills, ability to anticipate and resolve issues in a timely, effective, ethical, professional, and constructive manner

  • Strong negotiation, conflict resolution and rapport-building skills

  • Demonstrate ability to take initiative and work effectively both independently and as part of a team

  • Demonstrated success managing multiple concurrent projects with diverse stakeholders and work well in a fast-paced environment.

  • Skilled in in responsible use of AI-assisted tools to strengthen writing, proposal development, streamlining workflows etc. in accordance with organizational policies, data privacy requirements, and human oversight.
