Job Description:

The Department of Chemical and Biological Engineering (CBE) at Iowa State University is seeking a dedicated Graduate Student Services Specialist to support and enhance the academic experience of graduate students. This position plays an essential role in supporting student success throughout their academic journey, and coordinating essential departmental academic activities that contribute to a thriving academic environment. The position also coordinates student employment and BME senior design projects.  The individual in this role will serve as a key resource for students, faculty, and staff while helping maintain the excellence of the department’s programs.

Key Responsibilities

  • Coordinate activities, processes, and services for Chemical Engineering graduate students.
  • Serve as the primary point of contact for graduate program inquiries and department-level guidance.
  • Support graduate student recruiting and coordinate the full application and admission process.
  • Manage communication with prospective and admitted students, including responses to the departmental email account.
  • Organize prospective student visits and related recruitment events.
  • Coordinate, enter, track, and report graduate student stipends, tuition, and funding details.
  • Plan and facilitate new graduate student onboarding and orientation activities.
  • Maintain accurate student records and generate reports as needed for faculty and administration.
  • Monitor degree progress and guide students through program milestones and necessary procedures.
  • Assist students with Workday processes and coordinate graduate student separation procedures upon completion.
  • Support departmental academic activities, including surveys, course evaluations, teaching schedules, room assignments, and textbook ordering.
  • Coordinate student employment actions, including hiring, renewals, wage adjustments, timesheet compliance, and related reporting.
  • Lead coordination of BME Senior Design projects, including team assignments, project approvals, communication, compliance tracking, and the semester poster session.
  • Participate in CBE, College of Engineering, and Grad College graduate program meetings.



Level Guidelines
• Intermediate-level position with solid professional and/or technical skills working under general supervision to achieve goals
• Applies broad, working knowledge of the principles of the field to moderately complex, difficult, and varied problems and issues
• Exercises judgment within defined procedures and practices to determine appropriate action and resolve problems
• Responds to a broad range of inquiries and requests
• May provide training and/or direction to lower-level staff
• May lead projects of moderate scope and complexity.
• Provides guidance to students
