The Psychology Department at LSU is seeking a Graduate Coordinator. This position will serve as the assistant to the Director of Graduate Studies in the Department of Psychology in its efforts to train graduate students to be professional psychologists. There are approximately 100 graduate students enrolled in this program and over 300 applicants each year. This position requires independent judgment and high initiative; requires a thorough working knowledge of university policies and departmental procedures along with excellent verbal and written communication skills and must have knowledge of laws, rules, regulations, policies and procedures.
Job Responsibilities:
30% - Assists faculty and graduate students regarding the Graduate School and departmental policies and procedures to assure that the guidelines are followed and deadlines are met; initiates and completes required forms, assists graduate students and faculty in resolving problems that arise during registration process; creates and maintains individual student files for the department; prepares, tracks and files annual student evaluations; acts as liaison between department and graduate school.
20% - Independently work alongside the Business Manager to manage and balance graduate assistant budgets for the department. Collect, organize, and reconcile a list of graduate assistant stipends and the source of funds, then balance the list to the general ledger system monthly providing reports as requested. Enters and stores other relevant data such as dates of appointment, years on funding, title code, percent effort, etc. Compare actual expenditures to established budgets and report discrepancies
15% - Appoints approximately 65 Graduate Students in Workday; verifying salary and percent of effort for each with the Business Manager as it pertains to departmental budget and grants. Creates and files monthly time sheets as required and all necessary paperwork required for Graduate Student funding. Composes, edits, and revises job descriptions for graduate students; prepares annual GA evaluations as required; maintains files on financial records of graduate students. Submits SACSCOC-18 paperwork for teaching graduate students.
15% - Maintains a detailed Access database of current and former students; gathers, assembles, and compiles data and statistics for various reports required annually to maintain accreditation (American Psychological Association, Dean's report, Graduate School, departmental website, etc.); files tuition waivers to the Graduate School for those students on externship/internship. Maintains records and detailed statistics in order to complete extensive five-year self-study reports for accreditation in both clinical and school psychology doctoral programs for American Psychological Association. Creates tables for American Psychological Association Annual Repot Online and 10-year Self-Study for both School and Clinical areas. Enter data online in the Commission of Accreditation’s Annual Report Online portal. Updates school and clinical area websites with tables and information annually to maintain APA compliance. Tracks and provides data reports for departmental RSES
10% - Maintains and updates area handbooks (six total) annually; updates required forms as needed. Updates Graduate Student profiles on website annually. Other tasks as they arise; completes and processes Administrative Approval Request forms for outside committee members for the graduate student. Maintains the computer lab for graduate students. Secure faculty to attend commencement as department representatives and provides regalia for these events.
5% - Utilizes the program Slate for applicant information; responding to inquiries by phone and email regarding our graduate program; develops and maintains a query report in Slate on 300+ applicants each year; confers with graduate committees regarding applicants to be invited for interviews; creates and sends offer letters of funding and admission, utilizes Slate to send denials of admission. Assists with preparing for travel and expenses for graduate school interviewees for their tour of the campus. Works with Slate and Graduate School Admissions officer to ensure all required materials are submitted for admitted students.
5% - Other assigned tasks

Special or Physical Qualifications:
Physical ability and eye-hand coordination necessary to use computer, copier, scanner, telephone and other office equipment; ability to sit in the same position for extended periods (3.5 to 4 hours) at a time using continuous hand motions.
