Summary:
The Admissions Associate supports the College of Arts & Sciences (CAS) Graduate Enrollment Management (GEM) team through a combination of prospective student engagement, event coordination, administrative support, and enrollment lead processing. This essential, service-driven position plays a key role in shaping the graduate admissions and enrollment experience by ensuring responsive communication, organized campus visits, off-campus visits, and effective team collaboration.
The incumbent has a strong facility to support planning, securing and reconciling purchases and event contracts within budget. This position will work closely with territory admissions advisors in a scalable, flexible College portfolio to support recruitment and admission events, including off-campus activities coordinated through third-parties.
This position reports directly to the Director of Graduate Enrollment Management and is aligned with the Dean’s Office at the College of Arts and Sciences. The incumbent will liaise regularly with the wider CAS Graduate Studies team to engage prospective students and applicants from recruitment through post-admission deposit, registration and yield activities that help secure graduate enrollment goals.
Essential Functions:
1.) Prospect and Admitted Student Engagement
Deliver a welcoming and informed front-desk experience for students at all stages of the admissions process through clear, courteous, and timely communication; Serve as a first contact for prospective and admitted students by managing the casgrad@american.edu email account, chat options, making and receiving calls through the main CAS Graduate Enrollment Management phone line, providing accurate information or directing inquiries to appropriate staff as needed; Track and escalate complex or time-sensitive inquiries to the appropriate team member to ensure high-quality service and follow-through.
Help maintain updated ‘frequently asked questions’ information sheets with current and forward-thinking items to ensure top-tier student service in an ever-changing enrollment landscape.
2.) Event and Visit Coordination
Coordinate campus visits for prospective students, including reviewing scheduling requests, confirming staff availability, and communicating with faculty for requested meetings; Manage visit logistics such as calendar invitations, confirmation follow-ups, and tailoring experiences based on program interest; Assist with the planning and execution of recruitment events such as open houses, including coordination with faculty and staff, preparing materials, and supporting day-of logistics; Represent the Graduate Enrollment Management (GEM) team during visits and events by greeting guests, leading campus tours, and tracking attendance; and Prepare event and visit materials using approved templates, swag and supplies.
3.) Graduate Enrollment Team Administrative Support
Manage GEM team internal and external meeting schedule, solicit agenda items and distribute meeting agendas; Collaborate with recruitment lead and CAS Dean’s Office team to comply with preferred vendor requirements for asset, swag and travel vendors; Maintain stock and display of print asset and promotional items; and Support purchase requests and reconciliation in Workday.
4.) Lead Management
Download and import weekly prospective student leads from platforms such as Niche and Keystone; Serve as backstop to CRM event management and standard enrollment operations; and Monitor the CAS Leads inbox and ensure timely processing to avoid expired records.
5.) Other
Other duties as assigned and aligned with overall success of enrollment management initiatives.

Position Type/Expected Hours of Work:
Full-time.
35 hours per week.
Hybrid 1 work modality (on campus 3 - 4 days per week).
Salary Range:
$27.47 - $30.22 per hour.
Required Education and Experience:
Bachelor's degree or equivalent.
1 - 3 years of relevant experience.
Travel Required:
May require limited travel within the DMV area.
