Summary of Job Duties:

We are seeking a detail-oriented individual to join the UAMS Regional Centers Graduate Medical Education (GME) Office as a Business Coordinator. In this role, you will drive financial, administrative, and purchasing operations for the UAMS Regional Centers GME Office. This position is at the heart of supporting residency and fellowship programs across the state, ensuring seamless accreditation, compliance, and operational excellence. We’re looking for a proactive professional who thrives on managing multiple projects, handling sensitive information, and contributing to the success of graduate medical education initiatives with precision and professionalism.

Qualifications:

Minimum Qualifications:

  • Bachelor's degree, major in health, business, or related field, plus two (2) years of grants management and/or financial management experience, OR high school diploma and six (6) years of grants management and/or financial management experience.
  • Prior experience in graduate medical education is preferred but not required.
  • Experience working in Workday is preferred but not required.

  • Excellent interpersonal, problem-solving, and communication abilities (both written and verbal).
  • Proven capacity to work independently and collaboratively, manage multiple priorities, and consistently meet deadlines.

  • Proficient in Microsoft Office Suite with the ability to quickly learn and adapt to new software tools.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Strong analytical skills to support budgeting, procurement, and administrative processes.
  • Adaptable and resourceful in a fast-paced, dynamic environment.


Additional Information:

Key Responsibilities

  • Support business and accounting operations by collaborating with the GME Director and UAMS financial team to develop annual budgets for the GME office and individual programs. Review budget statements, track expenditures, renew contracts, and assist with budget close-out procedures. Communicate budget and expenditure details with the GME Director and Program Directors.
  • Manage procurement for the GME Office and NW Arkansas residency and fellowship programs in coordination with the GME Director and program coordinators. Maintain purchasing and travel cards, create spend authorizations and expense reports in Workday, and manage travel arrangements, including in-state and out-of-state trips. Serve as a resource on procurement and travel policies for GME programs in NW Arkansas.
  • Provide administrative support by assisting the GME Registrar in managing 184+ residents and fellows statewide. Tasks include verifying completion of required tasks (e.g., annual conflict of interest disclosures), preparing and distributing diplomas, routing documents for signatures, responding to verification requests, and supporting adjunct faculty appointments, orientation, onboarding, and tracking faculty scholarly activity. Manage the Designated Institutional Official (DIO) calendar and provide general administrative support.
  • May perform any other duties as assigned.
