The Global Gateways Program Coordinator & Passport Agent provides dual support to the Office of International Affairs Global Gateways and  OIA Passport Services through program coordination, administrative support, and certified passport acceptance services. This role is responsible for facilitating Global Gateways programs and stakeholder engagement while also serving as an official Passport Acceptance Agent in compliance with U.S. Department of State regulations. The position requires strong attention to detail, excellent customer service skills, and the ability to manage sensitive documents and complex administrative processes.

Skills & Qualifications

Minimum Requirements

  • Bachelor's degree or equivalent experience.
  • 2 years of relevant experience required.

Required Qualifications

  • Bachelor’s degree preferred.
  • 2 years of relevant work experience required.
  • Due to federal government requirements, this role requires you to be a US Citizen.
  • Ability to obtain and maintain certification as an official Passport Acceptance Agent.
  • Demonstrated administrative experience in an office, program coordination, customer service, or related setting.
  • Strong attention to detail and accuracy in handling sensitive documents and financial transactions.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks simultaneously and meet deadlines in a fast-paced environment.
  • Strong customer service orientation and ability to work with diverse populations.
  • Proficiency with Microsoft Office applications and electronic data entry systems.
  • Ability to maintain confidentiality and comply with federal, state, and university regulations.

Preferred Qualifications

  • Experience in higher education, international programs, or public-facing administrative roles.
  • Experience planning events, coordinating logistics, or supporting leadership-level operations.
  • Familiarity with university processes, global programs, or international travel documentation.
  • Demonstrated ability to collaborate effectively with internal and external stakeholders.
  • Problem-solving skills and the ability to handle complex situations with professionalism.

Physical & Other Requirements

  • Ability to handle and secure sensitive documents in accordance with federal standards.
  • Occasional travel on campus and to local government offices (e.g., Secretary of State).
  • Availability to support events or programs outside standard hours on occasion.

The Targeted Hiring Range for this position is $21.35 - $25.00.  The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
