Job Description:

Summary:

The Gift Specialist is responsible for the accurate and timely processing and reporting of all central development financial data, primarily related to gifts and pledges.  In addition, the Specialist assists with gift processing system set-up and may participate in related informational training sessions for other development and alumni relations staff. Position, from time to time, may also participate in gift/donor-related data quality projects as assigned by Director, Data Quality & Analytics.

The Gift Specialist interacts directly with team members within University Advancement, Office of the Vice President & Treasurer, and the WAMU 88.5 American University radio station as requested.

Essential Functions:

1.) Data Entry, Review, and Maintenance of Gift Records

  • Organize, prepare, and enter financial, gift, and demographic information from incoming mail and other sources. Identify gift and donor information required to complete data entry, and work with staff members across the division to collect missing data. Maintain files of donor information and provide copies to appropriate advancement officers. Identify donor information and accurately apply gift entry to the appropriate donor request. Balance the dollar amount to be transmitted to the Office of the Vice President on a regular basis. Proof, Print and mail donor receipts on a weekly basis in collaboration with Director, Gift Administration. Maintain a secure environment for storing financial gift documents and a strict confidentiality of donor information. She/he assists with the training of staff to facilitate understanding of information required in processing gift and biographic information. 

2.) Data Entry, Review, and Maintenance of Constituent Biographical Data

  • Organize, prepare, and enter biographical and demographic information from incoming mail and other sources, at the request of the Assistant Director. Must apply a strong understanding about the main concepts of fundraising, contributions received, and the effect on individual, corporate, and foundation records. Maintain a sense of urgency, accuracy, and timeliness in entering data.

3.) Other Duties as Assigned

Position Type/Expected Hours of Work:

  • Full-time.

  • 35 hours per week.

  • Hours are 9am - 5pm, Monday - Friday.


Salary Range:

  • $22.86 - $26.25 per hour.

Required Education and Experience:

  • Associate's degree or equivalent.

  • 1 - 3 years of relevant experience.

Preferred Education and Experience:

  • Bachelor's degree or equivalent.

Additional Eligibility Qualifications:

  • Two (2) years of experience with, and knowledge of, working with a relational database, CRM.

  • Interest in fundraising and alumni relations priorities, best practices, basic industry vocabulary, and general operations.

  • Spreadsheet, data entry, and word processing proficiency.
