Position Summary:

The Division of Institutional Advancement is seeking a Gift Processing Coordinator in Boca Raton, FL, to support the administrative and operational functions of Advancement Services. The Gift Processing Coordinator is responsible for the timely and accurate processing of all philanthropic gifts and pledges, including overseeing gift entry, data integrity, reconciliation, acknowledgment processes, and maintaining constituent records in the Foundation’s database. This role ensures compliance with institutional policies and audit standards while maintaining accurate donor records and reporting.

Gift Processing & Compliance:

  • Receive, review, and process all types of gifts, including pledges, payroll deductions, and matching gift payments.

  • Ensure the IRS, CASE, and institutional guidelines are being followed. 

  • Maintain documentation and audit trails to ensure compliance with donor intent. 

  • Create and validate tax receipt requests.

  • Generate invoice reminders for pledges to ensure timely and accurate communication regarding outstanding commitments. 

  • Prepare and reconcile daily reporting and posting related to gift entry and deposits with finance.  

Database & Record Management:

  • Create and maintain constituent and gift records in Raiser’s Edge. 

  • Support document imaging and record retention. 

  • Adhere to best practices for data entry, record keeping, and data security through data validation and cleanup.  

Cross-Functional Support: 

  • Serve as a resource for donor inquiries related to gifts and records. 

  • Provide guidance on gift policies, procedures, and data standards. 

  • Support special projects, events, or campaigns coordinated by the Advancement Services or Development team. 

  • Work collaboratively with internal partners to maintain a positive donor experience through accurate and timely data services. 

  • Collaborate with finance, IT, and Advancement to improve processes.

  • Perform other job-related duties as assigned.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.

Strong attention to detail and a high level of accuracy.

Knowledge of gift processing standards and compliance requirements.

Ability to manage confidential and sensitive information.

Proficiency in Microsoft Office (Excel, Word) and database systems.

Strong organizational, analytical, and problem-solving skills.

Effective written and verbal communication skills.

Ability to manage multiple priorities and meet deadlines.

Preferred Qualifications/Skills:

One to three years of relevant experience in gift processing, data entry, finance, or advancement operations.

Experience working with databases/CRM systems.

Basic understanding of accounting or financial reconciliation practices.

Experience in higher education advancement or nonprofit fundraising.

Familiarity with CASE guidelines and donor stewardship practices.

Experience with systems such as Raiser's Edge NXT, Banner, or Advance.

Knowledge of matching gifts and donor-advised funds.

Salary:

$55,000 per year.
