Are you a proactive and well-organised professional who enjoys variety and supporting a busy academic environment? The School of Chemistry and Molecular Biosciences is seeking a motivated and adaptable General Services Officer to provide responsive, client-focused administrative support to staff, students, and visitors. Reporting to the School Manager (or their delegate), this broad, entry-level generalist role includes a wide range of operational tasks such as reception and front-of-house support, room bookings and equipment loans, mail and facilities coordination, staff and visitor inductions, and general office administration.
Working within a busy, open-plan office, you’ll interact with a diverse range of people and play an important role as a first point of contact for general enquiries. The role suits someone who is proactive, well organised, and able to manage multiple priorities, with a willingness to take initiative, follow established procedures, and contribute to maintaining accurate documentation and efficient processes. This is an excellent opportunity to gain exposure across several areas of university operations and build a strong foundation for a career in administration, including pathways into student or operational support roles. The position is primarily campus-based to support operational needs, with flexible work arrangements available on an ad hoc basis depending on business requirements.
Key responsibilities will include:
Support to School Leadership
Provide advanced administrative and office coordination support to the Head of School, School Manager and Executive Assistant, as required.
Provide administrative support to the Executive Assistant function during periods of leave or peak workload, as required.
Reception and office support
Serve as the initial point of contact for the School, responding to routine and non-routine queries.
Manage the reception desk, directing visitors to the appropriate staff or function.
Space and Equipment Support
Maintain common areas (meeting rooms, print/resource rooms, tea rooms, Chemistry Podium) and monitor/stock supplies.
Support meeting and event set-up/take-down, including furniture configuration as needed.
Coordinate room bookings, reviewing requests before confirmation.
Maintain and update content on the School’s digital screens.
Student Administration and Human Resources support
Coordinate examination administration logistics, including secure collection, splitting, distribution and collation.
Maintain foyer information displays, including marketing brochure stands.
Provide back-up to the officer responsible for casual salary payments processing and research-focused staff onboarding and offboarding.

Completion of a Bachelor degree in a relevant field; or an equivalent combination of relevant skills, knowledge, experience and education/ training.
Strong organisational and time management skills with attention to detail and a methodical approach to tasks.
Demonstrated commitment to a high standard of customer service, and a willingness and ability to perform a wide range of operational tasks.
Strong interpersonal skills and an ability to engage effectively, in writing and in person, with internal and external stakeholders.
A demonstrated aptitude for and commitment to creating and maintaining procedures documentation for accountability and business continuity.
Demonstrated computer literacy and skills in Microsoft Office.
Analytical skills sufficient to assess problems and propose appropriate solutions.
Demonstrated experience and skills in managing small projects.
Must be self-motivated and able to work constructively to objectives with limited guidance.
