The Functional Analyst, Records Management supports Enrollment Services by serving as the subject matter expert for the student information system and related institutional software used in enrollment and records management. This role executes key operational processes, evaluates and maintains documentation, and manages internal and external reporting and communications related to records management procedures.
ESSENTIAL JOB FUNCTIONS:
Systems & Project Support
Completes batch processing of student record updates and communications.
Collaborates with colleagues across Enrollment Management and Student Services (EMSS) division and the College to solve cross-functional issues, support coordination of processes, and improve communication.
Provides technical support to ensure critical functioning for student information systems and applications in areas such as admissions, registration, and student records.
Review requirements with IT analysts/developers; designs and executes comprehensive testing.
Implements system technological enhancements in cooperation with the Information Technology division and other campus entities.
Participates in related project meetings.
Develops in-depth knowledge of an enrollment service area and recommends process improvements based on system functionality.
Tests and applies student information system (SIS) upgrades and patches as necessary to ensure compatibility to existing system services.
Supports SIS module custodians; applies functional knowledge to design and enhance the technical support for the College’s policies and processes; collects and analyzes data and information to recommend business process solutions leveraging current and future college technologies.
Designs and conducts business process mapping; identifies system enhancements and business workflow to increase efficiency and effectiveness; creates functional requirements documents in collaboration with module custodians using industry best practices.
Serves as a functional analyst for approved projects; participates in project meetings; provides information regarding delivered Colleague, Radius, and Hyland OnBase functionality to support project goals; coordinates with project manager; develops comprehensive test scripts; oversees user acceptance testing; coordinates system testing with IT analysts and developers; provides postproduction support for completed projects.
Record & Document Management
Manages student records and related processes, including but not limited to records maintenance and research registration.
Processes grade changes as well as corrections and changes to demographic record information and posts high school articulation updates and prior learning assessment updates in the student information system and stored in the student record in the document management system.
Processes multiple types of registration request activity following college practices, restrictions, and deadlines.
Stores all registration adjustment request documentation in the student record in the document management system.
Makes any notations needed within the student information system and appropriate databases regarding registration activity and/or records updates. Manages the registration mailbox for appropriate disposition of all emailed registration requests.
Reporting & Customer Service
Communicates with internal partners regarding admissions, student records, and registration-related systems and processes in relation to the enrollment process.
Interacts with College departments, external stakeholders, higher education institutions, high schools, and other community entities.
Manages organizational inboxes and communicates with partners and students regarding enrollment and registration needs.
Maintains confidentiality of student records and other sensitive information.
Data Analysis & Maintenance
Maintains and updates data and statistics of student record information in College databases.
Responds to data requests and meets with involved parties to document data and reporting needs.
Performs configuration tasks and set-up as directed.
Applies data definitions for reporting.
Provides analyses of data pulls.
Assists in development of presentation documents, including graphs, etc.

OTHER DUTIES & RESPONSIBILITIES
Attends all required department meetings and trainings.
Manages multiple assignments of varying complexity while meeting federal and state, as well as internal regulations and procedures.
Demonstrates the ability to adapt to changing needs of the College and business partners.
Hours may include working outside of normal workweek schedule as needed to meet workload demands.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED
Bachelor’s degree
Three (3) years of systems maintenance, admissions operations, enrollment operations, record management, or other related experience.
*An appropriate combination of education, training, coursework and experience may qualify a candidate.
WORKING CONDITIONS
Typical office environment. Regular exposure to moderate noise typical to business offices.
