Job Summary

As the Front Desk Receptionist, you’ll be the welcoming face of our headquarters, playing a key role in keeping daily operations running smoothly and ensuring every employee and guest enjoys an exceptional experience.

This role is ideal for someone who thrives in a fast-paced, people-focused environment and takes pride in maintaining a space where everyone feels cared for. You’re proactive, organized, and love ensuring everything behind the scenes runs seamlessly, whether greeting guests with a smile, coordinating with vendors, or keeping the office stocked, tidy, and ready for the day.

As the first point of contact, you’ll manage a variety of operational and hospitality-focused responsibilities, from vendor and office supply management to conference room scheduling, mail coordination, and employee programs. You’ll also ensure office accessibility across locations and support Hospitality Team projects that enhance the workplace experience.

This is a fully in-person position, perfect for someone who enjoys being at the heart of the action and doesn’t mind a hands-on role that includes some physical activity.

Key Responsibilities

  • Front Desk & Guest Experience: Be the warm, welcoming face of our headquarters, greeting visitors, assisting staff and guests, and ensuring everyone feels supported. Oversee building vendors and provide direction as needed to keep daily operations running smoothly.

  • Office Supplies & Snack Management: Keep our workspace stocked, functional, and inviting by managing office supplies, snacks, and beverages. Partner with vendors to monitor inventory and ensure timely restocking so the team always has what they need.

  • Catering & Event Support: Coordinate catering for meetings and office events ranging from 10 to 100 people. Support Embark-hosted events by welcoming guests, preparing materials, sending invitations, and managing on-site details to create memorable experiences.

  • Mail Coordination: Handle all incoming and outgoing mail, packages, and deliveries with care, ensuring timely distribution and coordination with shipping services.

  • Office Opening & Closing: Support the daily rhythm of the office by assisting with morning openings and evening closings, ensuring that all facilities, equipment, and shared spaces are secure and operational.

  • Conference Room Management: Schedule and prepare conference rooms for meetings, ensuring they’re organized, equipped, and ready to impress. Provide hands-on support when hosting client groups to create a polished and professional environment.

  • Employee Shop Oversight: Manage both our in-person and online shop with precision and care, ensuring all Embark merchandise is well-stocked, organized, and reflects our brand standards. Oversee inventory, fulfill orders, restock items, and coordinate custom or bulk orders as needed, maintaining a consistent, high-quality experience that captures the spirit of our brand.

  • Building Access & Travel Programs: Oversee employee access to building platforms and travel programs, maintaining accurate rosters and ensuring smooth onboarding and updates as team needs evolve.

  • Physical Tasks: Assist with office deliveries, furniture setup and reorganization, and event preparation. Must be comfortable performing occasional physical tasks and lifting up to 30 lbs.

  • Hospitality Team Collaboration: Support additional Hospitality Team initiatives as needed, always jumping in with a helpful attitude and a solutions-oriented mindset.

Qualifications

  • Education: Associate’s degree required; Bachelor’s degree preferred.

  • Hospitality Mindset: A genuine passion for serving others with warmth, care, and professionalism, always going above and beyond to create an exceptional experience.

  • Service Leadership: Takes ownership of the front desk and leads through fanatical hospitality, setting the tone for a welcoming, people-first workplace.

  • Organization & Attention to Detail: Exceptionally organized and dependable, able to manage multiple priorities with precision and follow-through.

  • Communication Skills: Strong interpersonal and verbal communication skills with a polished, approachable, and solutions-oriented demeanor.

  • Tech-Savvy & Adaptable: Proficient in modern workplace tools. The team works heavily in Google Workspace (Calendar, Sheets, Docs, Gmail), Slack, and AI.

  • Hands-On Approach: Comfortable in an active, in-person role that may include lifting or moving items (up to 30 lbs) and supporting event setup.

  • Dependability: A reliable, consistent presence with a strong work ethic and pride in maintaining a professional and welcoming environment every day.
