We are looking for a Position Business title to join our team in one of today’s most exciting technologies. This role will report to our Sr. Manager, Admin Services and Facilities and based in San Jose, CA. This is a fully on-site, in office role 5 days a week.

Roles & Responsibilities:

  • Ability to manage appointment calendars, schedule meetings, prepare meeting agendas and monitor/communicate changes. 
  •  Order refreshments for meetings (lunch/dinner) including picking up and delivering orders. 
  •  Process all department invoices, prepare and maintain vendor invoice files and track and process expense reports. 
  • Develop and edit correspondence 
  •  Perform general administrative duties, including call screening, mail processing and file system development and maintenance, typing, faxing, copying and mailing. 
  • Exercise complete discretion and confidentiality at all times. 
  • Work on special projects as assigned by management. 
  • Follow through on external and internal calls and emails. 
  •  Act as information resource regarding company events. 
  • Keep track of office supplies and inventory and order items when necessary to maintain stock.
  •  Assist with filing, ordering and pulling literature samples when needed for mailings and meetings. 
  • Drive teamwork and collaboration with other EA’s by providing cross-support as needed.

Qualifications:

  • Must be able to respond appropriately and professionally to a variety of situations, including dealing with conflicting priorities and the handling of confidential information.
  •  Proficiency with Microsoft Office Suite (Word, Excel and PowerPoint) and Outlook is essential
  • Strong organizational skills, especially in creation and maintenance of departmental filing systems
  • Ability to perform multiple tasks in a fast-paced environment, meeting deadlines with accurate results. 
  • Excellent communications skills (written and verbal) for effective interaction with all levels of staff division, company and external business partners. 
  • Must be able to work overtime. 
  • Must possess a valid California Driver’s license and have personal and reliable transportation available. 
  • Ability to work well under pressure. 
  • Ability to work well with others. 
  • You have a history of excelling with little or no initial direction, proven by stellar references from prior hiring managers/customers. 

2-3 years' experience:

  • Welcoming, and directing visitors, clients, and vendors in a professional manner, while maintaining a clean, professional reception area.
  • Monitoring visitor access, issuing employee and security badges, and maintaining visitor logs to ensure a secure environment.
  • Perform general administrative duties, including call screening, mail processing and file system development and maintenance, typing, faxing, copying and mailing.
