About the Role

Reporting to both the Manager Finance Business Partnering and the Foundation Executive Director, the Foundation Finance Manager provides hands-on financial management, budgeting, forecasting, reporting and compliance support for St Vincent’s Foundation Victoria. 

Working in partnership with colleagues across Finance, the Foundation and site-based finance teams, the role ensures strong financial governance of disbursements, effective controls over donor-restricted funds, and efficient, compliant and transparent operations. 

The Foundation Finance Manager bridges St Vincent’s finance system (D365) and the Foundation’s database (Raiser’s Edge NXT), enabling accurate foundation-specific financial planning, reporting and risk management, and supports audit readiness and informed decision-making through timely financial insights and continuous improvement of Foundation finance processes.

Duties

  • Provide hands-on financial management for St Vincent’s Foundation Victoria, including oversight of transactions, reconciliations, cashflow monitoring and timely month-end close in partnership with Financial Accounting.
  • Lead the Foundation’s annual budgeting process and rolling forecasts, providing variance analysis and financial insights to support disbursements, operational planning and decision-making.
  • Prepare accurate, timely Foundation financial reports for the Foundation Executive Director, Finance leadership and governance forums, including board-ready reporting, and use financial and operational data to provide insight into trends and performance.
  • Maintain the integrity of the Foundation’s cost centres and fund structures in core systems such as D365 and Raiser’s Edge, ensuring they are accurate and current, enabling accurate coding and appropriate allocation of transactions
  • Provide financial governance and oversight of disbursements across St Vincent’s Victoria sites, ensuring payments are appropriately approved, within budget, compliant with donor restrictions, and aligned with Foundation and SVHM policies.
  • Partner with Foundation Services and site-based stakeholders to manage end-to-end disbursement workflows, including payment scheduling, documentation, acquittals tracking and exception management.
  • Bridge St Vincent’s finance system (D365) and the Foundation’s database (Raiser’s Edge NXT), ensuring accurate recording, reconciliation and reporting of gifts, grants, pledges, restrictions and disbursements (training provided).
  • Ensure Foundation financial activities comply with relevant accounting standards, ACNC requirements and internal financial policies, and coordinate and review Foundation-related inputs to statutory obligations (including BAS, FBT and franking credits) in partnership with the Financial Accounting team.
  • Maintain and strengthen internal controls and financial procedures relating to Foundation funds and cross-site disbursements, identifying and addressing control gaps and financial risks.
  • Drive continuous improvement of Foundation finance processes, reporting and system interfaces (including D365 and Raiser’s Edge NXT), focusing on practical efficiencies and data integrity.
  • Act as the primary finance partner to the Foundation and the key relationship manager with finance teams across St Vincent’s Victoria sites, providing practical advice on efficiency, cost of fundraising, timing and financial risk associated with funding allocations and disbursements.
  • Coordinate audit processes for Foundation financial activity, including preparation and review of documentation relating to donor-restricted funds and site disbursements, in partnership with the Foundation Executive Director on procedures, controls and audit readiness.
  • Maintain and enhance the reputation of the Foundation as a strategic partner to colleagues across St Vincent’s in relation to donor engagement and the solicitation of philanthropic funds to the organisation.
  • Other duties as directed from time to time.

Skills, Experience and Qualifications

  • Tertiary qualifications in Accounting, Finance or related field (CA/CPA desirable).
  • Experience in not-for-profit or grant making environments preferred.
  • Strong budgeting, forecasting and financial reporting skills.
  • Strong systems aptitude, experience working with donor/grant databases (e.g. Raiser’s Edge NXT or similar) highly desirable.
  • Sound knowledge of financial controls and compliance in an NFP environment.
  • Strong collaboration and communication skills.
  • High quality analytical and problem-solving skills;
  • Understanding of Accounting Standards and processes, in particular, required accounting entries (Dr/Cr);
  • Demonstrated highly developed interpersonal and communication skills;
  • Demonstrated initiative and the ability to develop innovative solutions to problems.
