We are seeking a Facilities & Office Services Assistant to join our vibrant Perth office!

We are seeking a FOS Assistant who can provide excellence in client service in the provision of all Facilities & Office Services requirements & responsibilities.

The successful candidate will ensure a seamless delivery of service for all requests and tasks. Provide excellent service to our clients and consistently meet the recognised service level standard.

Responsibilities of the role will include:

Office Services

  • Assist with all Office Services tasks including photocopying, printing, binding, scanning, courier dispatch and mail distribution. Ensure all tasks are carried out accurately and in a timely manner.
  • Assist with the collection, processing, and distribution of all incoming courier deliveries in a timely and efficient manner.
  • Assist with the firms' digital printing requirements including the appropriate use of Multifunction Devices (Photocopiers) to ensure best practice.
  • Assist with the delivery and collection of all internal mail at the required designated times.
  • Assist with entering costs against matters associated with printing, copying, postage and courier charges.
  • Report on all Stationery Stocks and arrange for the appropriate surplus supplies to be ordered when necessary. Ensure all stock items are replaced and adequate supplies are maintained such as envelopes, files, toners etc.
  • Assist with incoming requests assigned to FOS (Facilities & Office Services) Helpdesk.
  • Maintain a clean and tidy workspace.

Reception Support

  • Assist with full reception and switchboard services tasks on a daily basis, including after-hours national switchboard calls, as and when required.
  • Coordinate and deliver reception cover during breaks, leave and peak periods.
  • Manage all meet and conference room bookings via EMS and liaise with catering to ensure room-set ups and hospitality requirements are met.

Skills & Experience

  • Proven experience in office, facilities or customer service within a corporate environment.
  • Confident in operating office equipment and standard software applications.
  • Solid understanding of office administration, mail/courier processes and basic OH&S requirements.
  • Higher School Certificate or equivalent desirable.
