FOOD & BEVERAGE ADMINISTRATIVE ASSISTANT 

Sensei Lāna’i, A Four Seasons Resort, is looking for a Food & Beverage Administrative Assistant who shares a passion for excellence and who infuses enthusiasm into everything they do. Our teams’ have the opportunity to shape our guest experience by providing exceptional knowledge of the Resort and exemplifying the Golden Rule in each interaction. Work authorization required. 

 

WHAT YOU’LL DO 

The Food & Beverage Administrative Assistant provides comprehensive clerical and administrative support to the Food & Beverage and Culinary Departments across all outlets. This role supports efficient daily operations, assists leadership with administrative tasks, and ensures full compliance with Four Seasons policies, standards, and brand expectations. Responsibilities include, but are not limited to:     

  • Prepare, process, and manage a high volume of correspondence, reports, letters, memoranda, and incoming mail 

  • Review, route, track, and coordinate responses; record, distribute, and maintain departmental and divisional meeting minutes using multiple systems. 

  • Maintain and organize departmental files, policies, standards manuals, schedules, and calendars for Food & Beverage and Kitchen Division leadership 

  • Ensure timely updates and accurate distribution of documents in compliance with departmental and brand standards 

  • Support special projects and operational initiatives, including mailings, competitive surveys, menu support, breakage tracking, and ad hoc requests 

  • Coordinate, schedule, and confirm interviews, meetings, appointments, and cooking class reservations 

  • Oversee inventory, supplies, and purchasing functions, including maintaining inventory levels, receiving and storing deliveries, and tracking outstanding items 

  • Create, process, and follow up on Purchase Orders (POs) through BirchStreet 

  • Manage payroll and employee administration, including daily ADP audits and biweekly payroll processing 

  • Conduct daily operational and food safety oversight, including Critical Control Point (CCP) checks such as temperature logs, walkin and lowboy inspections, and verification of cleaning and sanitization practices

WHAT TO BRING 

  • Successful candidate must possess legal work authorization in United States 

  • The hospitality business functions seven (7) days a week, twenty-four (24) hours a day and scheduled days and times may vary based on need. Holidays and weekends availability is required. 

  • Required by the Hawaii State Department of Health to obtain a Tuberculous (TB) clearance card   

  • Hawaii Food Handler’s Card is required for this role 

  • Ability to sit and stand for extended periods, lift up to 30 lbs, and push/pull as needed during shifts  

  • Working knowledge of computer systems, with experience in word processing and spreadsheet programs
