The Position:

Position General Summary:

The Florida Scholarship Programs Support Specialist performs functions specific to supporting school choice programs in Florida.  This position supports the Financial Services team and coordinates various parts of the school choice scholarship programs. The position makes recommendations for improving existing processes and establishes new procedures as the program grows. This position uses independent judgment when interfacing directly with school districts, scholarship funding organizations, state-level personnel, parents, and consultants to obtain and provide information on behalf of FLVS.

Essential Position Functions:

  • Act as system administrator for the scholarship management system, ensuring that students are successful with utilizing their scholarship funding to participate in FLVS courses and that the data and reports generated for the program are accurate. 

  • Liaise between FLVS, school choice office, scholarship funding organizations, parents, and others to ensure streamlined communication of accurate scholarship/FLVS information, while exercising discretion during these communications. 

  • Prepare invoicing using electronic methods such as batch billing for the FLVS Scholarship program, and ensure timely payment from scholarship funding organizations, private schools and parents while observing independent judgement when encountering challenges with student’s scholarship account funding.

  • Reconcile revenue, invoices, and payments between scholarship funding organization portals and internal FLVS accounting and invoicing systems.

  • Authorize the placement of scholarship-funded students into their requested courses at FLVS and work with the private schools and FLVS enrollment teams to ensure timely registration.

  • Work proactively with internal and external organizations to address complex customer needs and to escalate concerns as needed.

  • Track, measure, and achieve defined department priorities and metrics specific to increasing scholarship revenue and student / customer satisfaction.

  • Generate reports to research student enrollment information and student status to aid in the daily operations of the scholarship program, analyze data on reports generated and make recommendations to improve the student scholarship experience with FLVS. 

  • Ensure contract renewals for the Scholarship Funding Organizations are presented to FLVS Procurement team for timely processing.

  • Keep abreast of school choice options for Florida students and inform Senior Accounting Manager of changes with the program.

  • Develop and maintain the standard operating policies and procedures for the student scholarship program at FLVS.  Provide training and support to other staff as needed.

  • Assist in tracking the effectiveness of established policies and procedures and present findings to the Senior Accounting Manager.

  • Meet professional obligations through efficient work habits such as, meeting deadlines, honoring schedules, coordinating resources and meetings in an effective and timely manner, and demonstrate respect for others.

Minimum Requirements:

Education/Licensure/Certification:

  • Associate’s degree; or equivalent combination of education and relevant experience

Experience:

  • Two years’ experience in administrative and customer service functions

  • Experienced in researching, problem solving and data entry

  • Experienced in Microsoft office products

  • Advanced Excel skills, preferred

  • Florida Scholarship and K-12 education administration, preferred

  • Experience in Accounts Receivable Billing and Collections, preferred

Knowledge, Skills, and Abilities (KSA's):

  • Knowledge of MS Windows, MS Office, and Internet Explorer

  • Proficiency in ad hoc reporting
