The Campus Experience team is responsible for delivering inclusive, engaging, and supportive environments that promote colleague well‑being and connection. The Wellness & Experience function plays a key role in advancing TD’s well‑being strategy through on‑site programming, services, and activations that support physical, mental, and social wellness.
Job Description
The Administrator, Fitness & Wellness provides front‑of‑house and administrative support for campus wellness spaces and programming. This role supports daily operations at the Wellness Retreat, including reception coverage, booking coordination, space readiness, and basic facility support.
Working under the guidance of the Sr. Manager, Campus Experience and in close collaboration with campus partners, this role helps ensure wellness spaces are welcoming, organized, and ready for daily use.
Key Accountabilities
Reception & Booking Support
Maintain the wellness reception desk and serve as a first point of contact for colleagues using the Wellness Retreat
Support wellness bookings through the app, TD Central community, email, and shared inboxes
Maintain schedules for wellness activations and consultation rooms using Outlook and shared calendars
Respond to booking inquiries and escalate issues or trends to the Campus Manager as required
Coordinate scheduling, consultation room usage, and communications related to wellness services
Manage wellness bookings across digital platforms (e.g. TD Central, shared inboxes), ensuring accurate scheduling and timely responses
Wellness Activations & Program Support
Assist with the coordination of wellness programs and activities aligned with TD well‑being initiatives
Support scheduling and booking of vendors / facilitators
Support day‑of delivery of wellness activations, including room readiness and class sign‑in
Share observations and feedback on participation trends (e.g., repeat bookings) with campus leadership
Space Readiness & Campus Support
Support daily readiness of wellness spaces, including studios, consultation rooms, water bar, and shared areas
Ensure the water bar is stocked, glasses are available, and infused water is prepared as required
Perform regular visual inspections of wellness spaces and equipment to ensure cleanliness and presentation
Perform light cleaning activities (e.g., wiping down furniture and equipment) during inspections
Identify and report additional cleaning, maintenance, or safety needs through TD Premises Helpdesk
Submit facilities service tickets through approved systems (e.g., BGIS Assist)
Equipment & Asset Support
Ensure wellness equipment is clean, presentable, and available for use
Perform regular checks of equipment and notify the Campus Manager of missing or malfunctioning items
Support ordering of replacement equipment and supplies following required approvals
Assist with bi‑weekly or monthly orders for PPE and operational supplies
Manage and hold the master locker key and support day‑use locker processes
Administration & Collaboration
Maintain shared calendars for Wellness Retreat activations and events
Support basic financial tracking and reporting related to wellness activities and supplies
Collaborate with the Experience Coordinator, Campus Experience Manager, and other campus partners to support a positive campus environment
Perform additional ad‑hoc duties aligned to campus operations and wellness support, as assigned
Job Requirements
Education & Experience
High school diploma or equivalent experience
Experience in reception, administrative support, hospitality, or customer service preferred
Experience working in a service‑oriented or front‑of‑house environment is an asset
Skills & Competencies
Strong customer service and interpersonal skills
Basic administrative and organizational skills
Ability to follow established processes and escalate issues appropriately
Attention to cleanliness, safety, and presentation of shared spaces
Comfort working with calendars, email, and basic digital tools
