The Financial Associate is responsible for providing high level service delivery to wealth clients, advisors and vendors. The incumbent will support a team of client facing individuals (Wealth Director, Head of Retirement Services, Investment Advisors, Financial Planners) to provide exceptional client service and administrative support. This position entails internal and external client communications, preparation and participation in select client meetings, and interface with the Wealth Service Team.
Job Responsibilities:
- Manage multiple time sensitive tasks simultaneously for both internal and external clients. Those tasks include: preparation of account opening and closing forms/paperwork, asset gathering at initial account funding, transferring money, paper and electronic filing.
- Other administrative tasks include coordinating with Wealth Director, Investment Advisors, and Investment Associates on preparation and mailing, or emailing, of client correspondence, including required disclosures, Investment Policy Statements and account opening paperwork.
- Master the account opening process for all account types. Be able to prepare account opening paperwork in an efficient manner with Fidelity, Pershing or a like custodian.
- Track account funding to completion, check all asset information for accuracy (cost basis, acquisition date, tax lots, etc.).
- Provide client servicing support to Wealth Director, Head of Retirement Services, and Investment Advisors in the Rehoboth, New Jersey and Boca Raton locations of the BMCM. This service includes cash movement requests, quarterly fee reviews, fee refunds, preparing reports and presentations.
- Coordinate client meetings for Wealth Director and Investment Advisors and assist in meeting preparation.
- Be willing and able to systemically tailor client presentation materials to the needs of the client and Wealth Director or Investment Advisor.
- Serve as first point of contact for high net worth clients, as well as build and maintain those relationships by providing exceptional client service support.
- Answer the main phone line on a rotating and recurring basis.
- Provide backup to sort/scan and distribute mail, as needed.
- Proactively anticipate the needs of the team and help them stay ahead of compliance requirements, internal requests and preparing for meetings.
- Maintain accurate client data on the Salesforce (CRM), custodial platforms and portfolio management systems.
- Administer complex and precise processes in support of client needs. Contribute with process improvement ideas.
- Contribute to Division initiatives (systems conversions, projects, etc.).
- General office management duties such as ordering supplies, administrative duties, including the scanning and filing of client materials.
Minimum Qualifications:
- High school diploma required, however, a Bachelor's degree in business administration, finance or a business related major is highly preferred.
- 3-5 years of experience in administrative client service required.
- Must have general knowledge, understanding and application of custodian platforms and investment principles, securities processing and clearing; portfolio and client management systems.
- Strong Microsoft Office 365 skills including Excel, Word and Powerpoint and basic numeracy are required.
- Experience with custodian platforms and/or investment system is preferred.
- Must be able to juggle priorities, be organized and have an adjustable social style.
- Must exhibit initiative, and the ability to complete assigned tasks efficiently and with little supervision.
- Must have no disclosures on Form U-4.
