About the Position

As our Finance Business Representative, you will provide financial and administrative services, including travel arrangements, payables, and procurement.  You will be responsible for performing complex and widely varied paraprofessional administrative duties while exercising independent judgment in making decisions in accordance with established guidelines.

We Require

  • Three years of specialized administrative experience, including procurement, business travel coordination, finance management, and contract oversight

  • High school diploma or GED

  • A combination of post-secondary education and/or job-related experience may be considered in substitution for the minimum qualifications on a year-for-year basis

Other Requirements

Must possess or have the ability to obtain a valid Arizona driver’s license by the time of hire.

Job Contributions

  • Interpret and apply County and Office policies when procuring goods and services, including screening expenditure requests for accuracy and compliance, preparing purchasing documentation, tracking procurement activity, securing required approvals, and maintaining associated records

  • Resolve purchasing and payables issues by researching discrepancies, reviewing historical activity, requesting additional documentation from vendors or staff, and applying relevant policies and procedures

  • Initiate corrections to financial activity identified during reconciliation, prepare accurate journal entries, and ensure all adjustments are logical, documented, and compliant

  • Arrange, document, track, and report all investigative, training, and expert‑witness travel in accordance with County and Office policies

  • Coordinate airline and hotel reservations for staff, expert and fact witnesses, and external trainers, ensuring accurate calculation of travel advances and reimbursements

  • Track and report actual expenditures for supplies and services, initiating or calculating allocations and corrections as appropriate

  • Maintain accurate expenditure records within financial logs and the case management system in alignment with County and Office requirements

  • Manage petty cash funds, including screening reimbursement requests, applying policy requirements, tracking activity, obtaining approvals, and preparing paperwork for vendor payments or fund replenishment

  • Provide work direction and review the work of lower‑level staff as assigned

  • Perform other related duties as required

  • Most work is performed in a standard office setting

  • Work may involve public contact and close physical proximity with coworkers, vendors, or visitors

  • Tasks may shift unexpectedly based on operational needs

  • Requires the ability to manage frequent interruptions, time pressures, and a high volume of work

  • Involves handling multiple or complex tasks simultaneously and adapting to unscheduled or changing priorities

  • Requires sustained accuracy, sound decision‑making, concentration, and vigilance

  • Involves working collaboratively in a team environment

  • Requires sitting for extended periods

  • May require lifting, carrying, or pushing up to 30 pounds from floor to waist, waist to shoulder, or overhead

  • May require walking up to one mile as needed
