Fleet Coordinator
Contract: 12 Month fixed term contact
Part-time: 40 hrs per week, Mon-Fri 8am to 5pm

About the role:
We are looking for an enthusiastic and self-motivated individual to join our Fleet & Compliance Team. The main purpose of this role is to manage the fleet of vans for our field workforce across the UK and Northern Ireland, ensuring that they are maintained in a timely fashion whilst managing costs effectively. The role is also responsible for ensuring that process compliance is adhered to in all departments whilst ensuring exceptional customer service and keeping safety as the main priority.
What will you be doing?
As the Fleet coordinator:
On a daily basis you’ll be responsible for:
Supporting the field workforce with van related issues/breakdowns/accidents ensuring their safety is prioritised and their downtime minimised
Ensure all vehicles are correctly maintained, serviced and road-worthy.
Assist with the management on in night engineer parts deliveries, escalate missed/late deliveries and drive SLA adherence with the supplier
Build relationships with third parties and suppliers.
Manage fines and engineer deductions
Monitoring of costs
Work closely and build strong relationships with the Field Management Team to ensure good communication for resolution of problems that may be identified.
Report any issues which do not conform to agreed company processes.
Monitor qualifications of the field workforce, book training, track certificates, maintain the Gas Safe register to ensure full compliance.
Monthly/Adhoc you’ll be responsible for:
Monitor and review engineer compliance in job completion, parts allocation, and time management
Checking/Auditing validity of business/private mileage claims
Fuel branding compliance
Monitor driver behaviour and advise of any corrective actions that are required.
Present data in a suitable format for further investigation
Annually collate the P11d data for payroll for submission to HMRC
Onboarding/Maintenance of Subcontractor contracts, registrations, and compliance documentation
We want to make sure you’re set up for success in our mission. To be successful in your application you’ll need to have the following;
Essential
Spreadsheet/data analysing – Basics of Microsoft Excel (formulas)
Driving License – Candidates must be willing and able to drive a van as part of their job duties, as of when required.
Proactive/Inquisitive mindset
Desirable
Fleet experience
Previous experience in a compliance background is an advantage.
Experience of working with a vehicle tracking system
