Federal Work-Study (FWS) Internship Program: Global Administrative Assistant Internship (Student Wage)

The Vice Provost for Global Affairs Office is seeking a highly motivated, organized student to serve as our Administrative Assistant intern for the 2026-2027 Academic Year, beginning in the 2026 fall semester! The Administrative Assistant will report directly to the Special Assistant to the Vice Provost for Global Affairs, Tim Troy, and help with a variety of tasks related to UVA Global.

In addition to the job responsibilities outlined below, this position will participate in a structured internship experience through the Internship Placement Program (IPP). If selected, interns must enroll in either UNST 3910 (1 cr.) or UNST 3920 (1 cr.). The courses are offered 9+ times during the fall, offering plenty of options to choose from. Through this robust internship experience, students will receive dedicated career support from their supervisor and gain key skills and competencies that align with future job interests. The FWS Internship will look great on your resume and provide the student with impactful stories to share in interviews. TFWS Internships are best suited for students in their 2nd – 4th years.

Responsibilities:

Global Week

  • Tabling during the week
    • Representing the Global Week Committee by educating the UVA and Charlottesville community on Global Week, its events, programming, and initiatives
  • Assisting with Passport Drive
    • Greeting attendees, answering general questions, and guiding them through the application process
    • Help check in student passport scholarship recipients and educating them on their process
  • Advertising
    • Manage Global Affairs social media accounts and regularly advertise upcoming events
    • Assist with updating UVA Global Week website
  • Other miscellaneous tasks

Center for Global Inquiry & Innovation & GEO Fellowship Program

  • Update annual research project details in historical archive spreadsheet
  • Update new CGII/GEO website projects with appropriate tagging
  • Assist with Brown Bag Lunch Series communications and organization
  • Assist with catering orders for Global Lunch Briefs and committee meetings

Assist with Fac/Staff travel registry reports

  • Complete reviews of Fac/Staff monthly travel registration reports, making edits when necessary
  • Identify Fac/Staff that have not registered their travel in TDS system
  • Track travel registration submissions from non-registrants through Qualtrics, confirming they understand the terms of the policy

Miscellaneous

  • Assist with a variety of ad hoc projects on a rolling basis as needed
  • Set up & break down of events – please note, while not strenuous, some physical labor is required
  • Booking event space (if applicable)
  • Booking and/or coordinating with event caterers
  • Purchasing supplies (with University provided credit card)
  • Procurement of external visitor gifts (with University provided credit card)
  • Support with organization of mail, hallway space, supply closet, conference room, etc.

Qualifications:

  • Enthusiasm for global experiences & intercultural learning
  • Self-motivated and organized
  • Committed to completing job duties on time
  • Skills in graphic design and event planning preferred, but not required
  • Skills in Microsoft Office Suite program preferred, but not required

Pay Rate: $18 per hour (about 10 hours of work a week or more depending on event schedule)

Education: Current UVA student. Must be eligible for federal work-study.

Licensure: None

PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
