About the Role
We are seeking a skilled trade to support various operational functions while reporting directly to the Senior Facility Manager and Operations Manager. The Facility Coordinator will be responsible for managing both reactive and preventative maintenance programs for a correctional facility. This role ensures the site operates safely, efficiently, and in full compliance with Client and Company standards and guidelines.
Job Description
What You’ll Be Doing
- Coordinate the delivery of reactive and planned preventative maintenance with onsite trade staff and external contractors to ensure KPIs are met
- Coordinate cell refurbishment program
- Coordinate Minor Works including providing quotes to Facility Manager and arranging works
- Ordering of stock and materials, and assist in managing spare parts and stock levels
- Client invoice review at end of month
- Conduct contractor spot checks to ensure quality and safety of work being completed
- Conduct maintenance inspections of buildings and log work orders to rectify any issues
- Review and approve contractor SWMS
- Update asset data to ensure PM schedule is kept up to date
- Assist with maintaining asset registers
- Assist with annual condition assessment of assets on site for Asset Management Plan
- Participate in regular vendor meetings
- Follow up vendors for submission of invoices in timely manner
- Review monthly financial accruals against preventative and reactive works
- Undertake compliance and risk assessments
- Coordinate contractor entry process into site, including monitoring expiry dates, submitting police checks, booking inductions
- Ensure contractors are appropriately inducted
- Provide escorts for contractors where required
- Issue and manage required permits to work (confined space, hot works, working at heights, isolations, etc.)
- Maintain contractor service records, including all essential safety measures records
- Assist with the management of response to reactive works outside of office hours (including being on call on a rotating basis)
- Assist with the maintenance of hazardous substance register
About You
- 2 years of experience in a similar role
- Trade or technical background will be highly regarded
- Intermediate or Advanced skills in Microsoft Office programs (Word and Excel essential)
- Experience in JDE E1 highly desirable (or similar web-based CMMS software
- Victorian Car License
- Highly organised and efficient
- Able to manage a high volume of work
- Quality-orientated with a high level of attention to detail and accuracy
- Strong communication and interpersonal skills
- Demonstrated analytical or problem-solving skills
- Ability to seek assistance or advice as required
- Demonstrated capacity to address complex problems within a dynamic work environment
