Location: In-office — based out of our office in Ottawa, ON, with a requirement of 5 days per week on-site.

Position Summary:

The Facilities Supervisor is charged with  working closely with as well as supervising the other facilities team members to ensure that the day-to-day policies, procedures, and programs are followed. The Facilities Supervisor assures a well-managed, well-maintained Facility, while increasing the value of the Facility being managed. The position reports to the Facility Director and works with little supervision. Interfaces with building occupants and local site managers on a daily basis.

Responsibilities:

  • Coordinates the day-to-day operational management of the Facility to assure a high standard of quality.

  • Is responsible for the supervision and guidance of the other on-site facility personnel. This may include facilities coordinator and receptionist positions.

  • Responsible for backing up fellow team members.

  • Covering the receptionist for lunch and breaks as necessary.

  • Responsible for all incoming and outgoing mail and shipping.

  • Liaison with the property management to ensure timely repair and maintenance of building issues that are not directly Trend Micro’s responsibility.

  • Communicate with all levels of the local office management and build collaborative relationships with these departments.

  • Cross department training and knowledge required.

  • Basic office maintenance.

  • Sufficient knowledge of HVAC units to be able to troubleshoot and coordinate repairs and maintenance with contracted vendor

  • Sufficient knowledge and understanding of UPS and generator systems to coordinate repairs and maintenance with contracted vendors.

  • Sufficient knowledge and understanding of various fire suppression systems to be able to coordinate repairs and maintenance with contracted vendors.

  • Moves, adds and changes.

  • Basic furniture component installations such as keyboard trays, monitor arms etc. Minor furniture repair such as replacing height adjustable desk components

  • Conduct Management by Walking Around (MBWA). This is key to success! The Facilities supervisor needs to be proactive in the day to day operation and maintenance of the facility.

  • Make periodic, unannounced, visits to the facility to ensure that all procedures are working properly. By visiting the properties unannounced on weekends, nights, and early mornings, the Facilities supervisor will be able to see work in progress. Security, Cleaning Company, Construction, etc.

  • Assist with the supervision of all maintenance programs for the interior and exterior condition of the facilities.

  • Place and follow up on all building work orders.

  • Manage projects as needed.

  • Help ensure a positive and prompt response to all requests from occupants. Conducting regular follow-ups to assure a consistent approach to the occupant’s needs is a must

  • Assist in the selection of contractors

  • Monitor vendor performance to assure full compliance with our specifications and standards

  • Assist in the timely preparation of the operating budget and the implementation of the day-to-day management of the Facility within the parameters of the budget

  • Assist in maintaining ongoing, meaningful communications with the Accounting Department and the appropriate Accounting Manager

  • Assist in ensuring the day-to-day financial management of the Facility with specific attention to accounts receivable, collection activities, and approval of accounts payable on a current basis

  • Assist with variance reporting

  • Assist the Facility Director and Security Director with recruitment and training of the Emergency Response Team (ERT).

  • Ability to work overtime and nights as required.

  • Be available 24/7 in the event of emergency maintenance calls which may require returning to the property.

  • Minimum 5 years’ experience in a commercial facilities position of at least 50,000 sq. feet and 200 occupants.

  • Minimum of 5 years supervisory experience.

  • Data center experience a plus.

  • Reliable transportation

For applicants in the province of Ontario: Trend Micro Canada is committed to fair and equitable compensation practices. The salary range for this role is CAD $95,000.00 - $110,000.00. A candidate’s final compensation for this position will be determined by various factors to include, but not limited to relevant work experience, skills, and certifications.
