Position Purpose:
The Manager - Facilities will be responsible for overseeing the maintenance, repair, and optimal functionality of all critical and non-critical fixed and moveable assets deployed in his/her facility/ies. This role ensures a safe, efficient, and productive environment for all employees, champs, vendors/contractors, clients and visitors. The Facilities Manager will manage a team and external vendors, oversee facility-related budgets, and ensure compliance to all regulatory standards.

The role requires collaboration with cross-functional teams including talent acquisition, finance, information technology, workforce planning, operations, legal, facilities management, branding & marketing team to ensure the following;

  • Safe occupancy and safety of all in accordance to regulatory standards and regulations
  • Timely deliver small projects and critical initiatives, ensuring these are within scope, and within budget and within schedule
  • Ensure all vendors are; 1. Paid on time and correctly 2. Staffed properly according to the facilities need; and 3. Has all the requisite contracts before being deployed for operations or service
  • Ensure all installed seat in the center is optimized
  • Critical equipment and infrastructure is supporting the needs of the business without need for downtime
  • Lead in all physical security process implementation and initiatives
  • All permits and licenses necessary to keep the center/s operating as per regulatory requirement are in place and on-time

Key Responsibilities

Occupancy Safety and Health

  • Work with the head of safety and health and physical security to achieve common goals and metrics regularly, i.e. HIRAC
  • Keep the center’s master incident database updated, safe and secured
  • Ensure regular audit is performed prior to DOLE audit to avoid call-outs
  • Interact with the building administration for any required help and/or joint implementation of occupancy & safety strategies that will be implemented regularly especially for fire, earthquake and other safety scenarios
  • Coordinate with architects, engineers, consultants, and contractors as regards occupancy safety and health, toolbox meetings, etc.

Project management and critical initiatives implementation

  • Project scoping, planning and budgeting
  • Project implementation and supervision
  • Project close-out and punch list

Vendor management

  • Work with procurement to ensure all vendors have all the required legal requirements and permits before engagement
  • Ensure proposals are clear, properly structured and compliant not only to company & finance policies
  • Review and approve change orders and resolve any construction-related issues.

Stakeholder & Vendor Management

  • Liaise with internal departments (acquisitions, leasing, marketing, legal) to align project goals.
  • Manage third-party vendors, consultants, and general contractors.
  • Maintain positive relationships with local authorities, community stakeholders, and utility companies.

Reporting & Compliance

  • Provide regular updates to senior management on project status, risks, and key milestones.
  • Ensure    compliance with local, state, and federal regulations, including environmental and safety standards.
  • Oversee documentation, recordkeeping, and contract administration.

Qualification:

  • Education: Bachelor’s degree in real estate, Architecture, Engineering, Construction Management, Urban Planning, or related field. Master’s degree preferred.

  • Experience: 5–10 years of experience in real estate development or construction project management

  • Proven track record of managing multiple large-scale real estate projects through all phases.

  • Strong knowledge of real estate development process, including entitlement, design, permitting, and construction.

  • Exceptional project management skills, including scheduling, budgeting, and risk mitigation.

  • Strong analytical and problem-solving abilities.

  • Excellent communication and negotiation skills.

  • Proficiency in project management software (e.g., MS Project, Procore, AutoCAD, Bluebeam).

  • Certification in PMP, Six Sigma, or LEED/WELL is preferred but not required.

  • Combination of o􀆯ice and field work; occasional travel to job sites and stakeholder meeting.

  • Ability to manage stress and tight deadlines in a fast-paced environment.

  • Travel abroad may be required as needed and required for operating facilities, ongoing project
