Facilities Manager

This is a part time (20 hours per week), office-based role in Marble Arch London, over 4-5 days, including Tuesday, Wednesday and Thursday.

Role Purpose

As Facilities Lead you will be the driving force behind the efficient, safe, and sustainable operation of our London head office. You will be the face of our office, creating a positive and inspiring environment for both our team and visitors. Your role will encompass managing daily operations, including maintenance, security, and cleaning, while also overseeing budgets, vendor contracts and health and safety compliance. This is a high-trust, high-ownership role suited to someone who cares about the details and who takes genuine pride in making things run seamlessly.

 

Main accountabilities:

  • Ensuring the office and all associated assets are safe, secure, well-maintained and fully operational at all times

  • Creating an environment aligned with our culture. Exploring ways to make the space an enabler of collaboration

  • Owning office supplies, equipment, and meeting rooms ensuring everything is stocked, working, and tidy

  • Being the point person for office questions, requests, and issue resolution

  • Acting as the primary point of contact for Building Management, external suppliers and service providers, ensuring high service standards are consistently met

  • Managing deliveries, post and incoming calls

  • Successfully delivering all legal, statutory, and routine maintenance requirements

  • Managing deliveries, post and incoming calls

  • Comparing pricing, negotiating contracts, and ensuring that services are cost-efficient and delivered to agreed standards

  • Delivering continuous improvement on health and safety in the office – leading a cross functional team through a defined journey to meet EHSQS Excellence

  • Maintaining internal documentation for office operations and EHSQS procedures, ensuring internal reporting systems are fully utilised and kept up to date

  • Coordinating Health & Safety training for our employees

  • Facilitating new starter setup, including Health & Safety onboarding, security access and entry cards

  • Planning and executing employee engagement events, initiatives and internal communications, helping to foster a positive, inclusive, and productive office environment

  • Reviewing, improving and delivering emergency preparedness plans for the office and at home

  • Completing facilities related tasks associated with our legacy Kingsway office until it closes later this year

 

Performance Measures

  • Progression towards EHSQS excellence

  • Operational Efficiency & Process Productivity - Maintenance and operational tasks completed on time. Respond to and resolve facility related issues within reasonable timelines. Demonstrate process improvements.

  • Cost Control & Budget Performance - Actual spending tracks against the budgeted amount. Track variances and understand reasons for any discrepancies.

  • Employee Experience & Workplace Satisfaction – Continuous improvement workplace satisfaction and visitor experience, measured though feedback and surveys. Increased engagement and participation in facilities, social and EHS initiatives.

  • Facilities Reliability, Safety & Compliance – Continued progress through our Journey to EHSQS excellence

  • Vendor Performance – Vendors meet performance requirements, understand reasons for any issues and resolve as necessary.

 

Skills and Experience

  • Proven experience in facilities management or similar operational role in a corporate environment (5 years minimum)

  • Strong organisational, administrative, and multitasking capability

  • Clear, confident communication skills across a variety of channels

  • Excellent interpersonal skills and the ability to work with an array of stakeholders internally and externally

  • Highly proactive: Ability to work independently, prioritise effectively, anticipate needs and manage reactive or unplanned events

  • Experience managing suppliers and negotiating contracts

  • Experience creating and rolling out staff training

  • Ability to lead meetings and encourage collaboration

  • Experience leading health and safety (associated qualifications desirable)

  • A passion for maintaining a workplace that actively supports positive health and wellbeing
