The Role

As the Facilities Manager, Americas Field Offices, you will manage facilities operations for Proofpoint’s Americas region. You will oversee multiple field offices and directly manage Office Managers while coordinating with vendors, landlords, and service providers who deliver office services and facility support that keep our locations operating safely and effectively.

As a successful facilities professional, you will demonstrate strong operational leadership, the ability to influence and coordinate remote teams and external partners, and excellent written and verbal communication skills. This role requires the ability to think critically, solve problems without explicit instruction, and proactively identify and implement solutions in a fast‑paced, distributed environment.

Your day-to-day

  • Manage and support Office Managers across Americas field offices
  • Oversee daily facilities operations to ensure offices are safe, operational, and continuously open for business
  • Serve as the primary escalation point for preventative and reactive maintenance, building services, and facilities-related issues
  • Coordinate with vendors, landlords, and service providers to ensure timely and effective delivery of facilities services
  • Manage end-to-end vendor processes, including onboarding, contract setup, reviews, and negotiations, as well as purchase request creation, spend tracking, and invoice submission.
  • Manage all aspects of field office construction projects, including office renovations, furniture installations, office openings and decommissions, and space reconfigurations
  • Manage procedures and processes, working with global facilities peers to support standardization of policies, programs, best practices, and ongoing team training
  • Provide assistance for local office events in collaboration with HR teams (Events, Wellbeing, Benefits, etc.)
  • Oversee employee moves and workspace changes, coordinating cross-functional support with IT and internal stakeholders
  • Ensure furniture, fixtures, and equipment are maintained in safe and usable condition for employees and guests
  • Review and approve facilities invoices, ensuring prompt and proper payment, and work directly with Accounts Payable to resolve vendor payment issues, discrepancies, or delays.
  • Track and manage regional facilities budgets and site cost reporting with accuracy and timeliness
  • Act as a regional escalation contact for facilities-related incidents and emergencies, including after-hours support as required
  • Occasional travel to field office locations as needed

Experience Required

  • Bachelor’s degree in a related field preferred, or equivalent practical experience
  • Proven facilities or office management experience supporting multiple locations
  • Experience managing or leading Office Managers or similar roles in a distributed environment
  • Exposure to vendor contracts, service-level agreements, and commercial negotiations
  • Experience managing construction projects, office buildouts, renovations, and workplace changes across multiple locations, including project management responsibilities spanning scope, budgets, timelines, and key stakeholders.
  • Strong critical-thinking and problem-solving skills, with the ability to operate independently, show initiative, and make sound judgments without explicit direction
  • Customer-service oriented with strong written and verbal communication skills
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
  • Working knowledge of collaboration and workflow tools such as Jira and SharePoint
  • Flexible, responsive, and collaborative team leader and team member

Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets as set out below. Pay within these ranges varies and depends on job-related knowledge, skills, and experience. The actual offer will be based on the individual candidate. The range provided may represent a candidate range and may not reflect the full range for an individual tenured employee. This role may be eligible for variable compensation and/or equity. Base Pay Ranges:

SF Bay Area, New York City Metro Area:

Base Pay Range: 111,300.00 - 174,900.00 USD

California (excludes SF Bay Area), Colorado, Connecticut, Illinois, Washington DC Metro, Maryland, Massachusetts, New Jersey, Texas, Washington, Virginia, and Alaska:

Base Pay Range: 93,300.00 - 146,630.00 USD

All other cities and states excluding those listed above:

Base Pay Range: 83,600.00 - 131,340.00 USD
