Facilities Inventory Specialist

We are seeking a Facilities Inventory Specialist who will be responsible for supporting the Facilities Inventory and Technical Operations departments by completing tasks related to the purchasing of services, supplies and equipment in accordance with established policies and regulations under the direction of Facilities Management. This individual will oversee data driven projects related to long term strategies for spare parts and all processes related to FMM inventory logistics and compliance.

As a Facilities Inventory Specialist, a typical day might include the following:

  • Sourcing and purchasing services, supplies, and spare parts for equipment based on value, quality, warranty, and service for Facilities and other internal customers
  • Onboarding and approving suppliers per requirements, compliance, and quality metrics; collecting required documentation and agreements in partnership with Procurement and Quality groups
  • Optimizing spare parts supply chain: set strategies and service levels, establishing reorder points, and driving inventory accuracy and availability
  • Monitoring supplier performance; initiating supplier corrective action requests (SCARs) for nonconformances, defects, or delivery issues; strengthening key supplier relationships
  • Creating purchase requisitions for preventive and corrective maintenance items; ensuring timely Oracle transactions; verifying orders for completeness, lead time, budget, specs, risk, and correcting cost codes
  • Maintaining the parts inventory database, running usage reports, and analyzing trends to generate KPIs and guiding inventory strategy
  • Collaborating with Engineering, Maintenance, Operations, and Procurement to ensure critical spares during emergencies; resolving stock issues; managing obsolescence and functional equivalents
  • Developing and improving procedures and best practices; authoring and supporting documentation (change controls, investigations, root cause, risk assessments, CAPAs, SOPs/work instructions/job aids, evaluations, work orders, lifecycle docs, policies)
  • Adhering to cGMPs; training and mentoring teammates; leading projects, driving consensus, and presenting status updates on various projects
  • Establishing and strengthening relationships with key suppliers and service providers through collaboration with Procurement
  • Ensuring financial transactions are completed in Oracle in a timely manner to support purchasing activities
  • Performing other duties as assigned by Facilities Inventory Management

To be considered for this position you ideally should have a bachelor's degree in Business, Supply Chain Management, Finance or related field or equivalent combination of education and experience. The following minimum years of relevant experience are required for each level:

Specialist: 2+ years
Sr Specialist: 5+ years

Salary Range (annually)

$67,400.00 - $110,000.00
