Facilities Energy and Environment Coordinator

Facilities Management & Coordination 

  • Coordinate energy and environment across a mix of owned properties and leased premises within the JAPAN designated portfolio 

  • Ensure difficulties on site are resolved promptly with minimum disruption to business-as-usual activities 

  • Assist Energy and Environment Managers with programs and assessments to maintain building procedures and performance measures 

 

Vendor & Contract Management 

  • Support liaison with landlords, contractors and internal teams to ensure energy and environment arrangements and requirements are facilitated 

  • Manage and implement energy and environment Program and ensure compliance 

  • Assist in vendor selection, procurement of services, and management of contractors to ensure they perform to required standards 

  • Conduct inspections of vendors' works to verify quality and compliance 

 

Work Order & Service Delivery Management 

  • Review and resolve reporting requirements in line with set KPIs 

  • Provide processing support and escalate technical requirements to Regional Energy and Environment Lead, as required 

  • Management and monitoring of energy and environment project works, as relevant, through internal teams (e.g., Envizi and Cority) 

 

Financial & Administrative Support 

  • Verify invoicing against contracted rates and confirm receipt of accurate invoices for energy and environment related services 

  • Assist in financial processes to ensure all financial management requirements are completed in a timely and accurate manner 

  • Assist in monthly reporting and business reviews 

 

Client & Stakeholder Partnership 

  • Deliver excellent customer service to meet and exceed stakeholder expectations 

  • Build and develop effective relationships with internal teams and external property management teams 

  • Serve as the key point of contact for HSE, Energy and Environment within Japan 

  • Liaise between office staff and facilities management for service requests 

 

Health, Safety & Compliance 

  • Ensure compliance with all OH&S, Environment, and Risk Management Policies and Procedures 

  • Follow established escalation procedures and incident reporting procedures 

  • Report all incidents within specified timeframes 

  • Carry out, report, and record regular inspections and ensure accurate remediation of defects or non-compliances 

  • Conduct regular audits to ensure safety procedures are in place and working 

  • Where applicable, induct vendors to site-specific situations and maintain records 

 

Property Database & Systems Management 

  • Develop a strong understanding of various property management database systems 

  • Complete, update, and maintain applicable web-based management information systems, including uploading property documentation

Possess, administration and communication skills and have a strong customer service focus. 

Proactive with a keen eye for detail and the ability to balance multiple priorities. 

Possess some exposure to building services maintenance & facilities management. 

  • Ability to deal with a variety of issues concurrently, within tight operational deadlines 

  • Knowledge or exposure to building/facilities management would be advantageous although not essential 

  • Highly organised with verbal and written communication skills 

  • Efficient keyboard and data entry skills 

  • Proficiency with Microsoft Word, PowerPoint, Excel, Outlook and Internet research skills 

  • Ability to work with minimal supervision and grasp new concepts  

  • Excellent client service and communication skills 

  • Excellent stakeholder management skills- possesses strong verbal & written communication skills, also an active listener 

  • Bilingual Communication- basic-level proficiency in both Japanese and English for effective collaboration with regulatory bodies, clients, and global teams. 

  • Experience in facilities, property management, hospitality or related field preferable  

  • Self-motivated & confident 

  • Flexible – able to adapt to rapidly changing situations 

  • Is a team player – able to cooperate and work well with others to meet targets 

  • Exhibits honesty & trustworthiness 

  • Open to new ideas & willing to challenge status quo
