Facilities & Office Services Coordinator – Early Phase Clinical Units

Location: Harrow, UK – Fully office-based (5 days per week)

Join our dedicated team supporting critical Early Phase Clinical Units at Parexel! We're looking for an experienced Facilities & Office Services Coordinator to ensure our site runs smoothly, safely, and professionally.

What You'll Do:

  • Supervise reception, housekeeping, mailroom, and switchboard services
  • Coordinate meeting room bookings, catering, and shared facilities
  • Manage office supplies, equipment maintenance, and vendor relationships
  • Oversee space planning, office moves, and furniture arrangements
  • Support Occupational Health & Safety initiatives and compliance
  • Administer company vehicles and parking arrangements
  • Serve as backup receptionist when needed

What We Need:

  • A few years' experience in administration or building services
  • Strong organizational skills with ability to prioritize and multitask
  • Computer literate (MS Office including Outlook)
  • Excellent communication and interpersonal skills
  • Self-motivated, flexible, and client-focused approach
  • Experience with minor repairs using hand tools is a plus
  • Fluent in English (verbal and written)
  • Right to work in the UK (we're unable to provide visa sponsorship for this role)

Education: 

  • Associate or Bachelor's degree in facility management, business administration, or related field (or equivalent experience)

Important: This role requires full-time presence in our Harrow office (Northwick Park Hospital), 5 days per week.
