OVERALL ROLE
The Facilities Coordinator will serve as a key member of the account team supporting IFM and PDS operations. They will support operational activities in sourcing, CMMS (Corrigo) and data management, project coordination, and compliance management.
MAJOR RESPONSIBILITIES
· Sourcing Support
o Maintain scopes of work for all third-party services performed on-account
o Assist in collecting proposals and ensure they are reviewed by the FM team
· CMMS Support and Oversight
o Maintain data in Corrigo according to account standards
o Serve as the account primary point of contact with the CPA shared services platform to request system changes and updates.
o Provide training to new and existing users as needed
o Create and monitor reporting to support operational functions
o Monitor day-to-day issues with work orders and resolve accordingly
· Project Support
o Support project administration and documentation
o Create project records, budgets, and purchase orders as requested
o Resolve invoicing issues
· Account administration: create reports and manage documentation as requested
· Any other duties, as assigned
CANDIDATE SPECIFICATION: KEY SELECTION CRITERIA
Ideal Experience
· Prior experience in facility/property management, or related field preferred
· Understanding of basic building systems and components (HVAC, plumbing, fire protection/alarm systems, electrical systems, A/V systems, office furniture, carpet and flooring) is advantageous
· Work order/CMMS system experience (Corrigo preferred)
· Strong skillset in MS Office (Word, Excel, Outlook, etc.)
· Excellent organizational and administrative skills, experience with SharePoint, MS Teams, or other file-sharing technologies is preferred
