Job Description:
Overall Purpose of the Role:
The Facilities Coordinator will oversee all building-related activities for all UK Group sites. They will be responsible for ensuring the facilities are safe, compliant and fully operational. The ideal candidate will be multi-skilled who can balance facility maintenance with good people skills.
The Facilities Coordinator will ensure the effective and efficient management of compliant UK Group infrastructure assets and services to support UK Group operational capability delivery for all hard and soft services.
Principal Responsibilities:
- Ensure the effective and efficient management of compliant UK Group infrastructure assets and services to support UK Group operational capability delivery.
- To always promote the Company safety culture
- Ensure the safety and well-being of all stakeholders within the Company
- Ensure all facilities, including all equipment in the facilities, are maintained in top operating condition
- Ensure delivery of facilities services to UK group sites to agreed scope, budget and agreed service levels and to optimise service delivery solutions.
- Work with Legal to negotiate, maintain and track facility leases and utilities
- Fiscally responsible project management
- Responsible for building and grounds maintenance
- Ensure that company vehicles are DVLA compliant and maintained in a safe operating and condition
- Ensure the buildings meet health and safety requirements
- Control activities like parking space allocation, building security infrastructure etc.
- Work with all applicable agencies, with regards to safety and operational compliance
- Support the Facilities Manager with tender preparations for service contractors
- Schedule any necessary employee or vendor work and liaise with site admins in ways that result in minimal impact on operations
- Responsible for directing, coordinating and planning essential central services such as security, maintenance, waste disposal and recycling
- Calculate and compare costs for goods or services to achieve maximum value
- Carry out regular scheduled visits to all UK facilities to coordinate contractors and monitor progress against agreed service levels to lead on improvements
- Ensure the provision and management of Planned Preventative Maintenance (PPM) and service programmes for Mechanical and Electrical (M&E) services, general site services and all soft services for UK infrastructure.
- Immediately respond and appropriately resolve urgent issues or emergency situations as they arise
- Manage, supervise and coordinate work of service contractors
- Ensure that staff and contractors have satisfactorily completed work or projects, and follow-up on any deficiencies
- Manage out-sourced contractors to ensure KPIs, SLAs, PPMs with any remedial works and reactive repairs is delivered in accordance with contractual agreements (including emergency call out incidents)
- Ensure contractors deliver cost effective services in accordance with the agreed scope of works, quality and timeframe to ensure contractual requirements are met.
- Support, and when required, represent the Facilities Manager at all relevant meetings and groups both internally and externally in relation to all facilities management tasks.
- Provide administrative support to the Facilities Manager.
- Perform other duties as assigned or required
Qualifications:
- BSc/BA in facility management, engineering, business administration or relevant field and/or equivalent experience preferred.
- An Institute of Workplace and Facilities Management (IWFMA) qualification at level 4 and above would be advantageous.
- Full UK driving licence.
Experience:
- Proven hands on experience as facilities coordinator or relevant position
- Well-versed in technical/engineering operations to SFG20 standards and facilities management best practices
- Experience of multi-site operations would be desirable.
- Experience in developing, documenting and implementing clear procedures.
Skills & Knowledge:
- Must have the ability to manage projects, set goals and analyse results to identify where improvements and new processes are needed
- Must be decision maker confident to take ownership and accountability.
- Must have procedural focus, awareness and a strong attention to detail.
- Should be a logical clear thinker, able to interpret, analyse and act effectively on information available
- Excellent communication & presentation skills
- Proven planning skills with demonstrable ability to manage rapid change to plan with minimal impact to the operations
- Proven people management skills
- Proven integrity and an ability to foster trust and discretion is essential
- Broad business and commercial understanding is essential as is the ability to apply the knowledge to achieve the service and financial goals.
- Ability to prioritise effectively.
- Proven ability to work independently
- Legislative / regulatory understanding is key
- IT (Proficient in MS Office Suite, including Word, Excel, Outlook and PowerPoint) SAP, Serrala and administrative Skills
Please note that travel will be required as part of the role.
