Job Description

Key Responsibilities May Include:

  • Conduct field audits of CHEP facilities to evaluate compliance with accounting, operational controls, procedures, and internal controls.
  • Provide reporting, analytics, and key performance indicators to senior leadership on compliance adherence and In-House group performance.
  • Evaluate financial and operational risks at both field and corporate office locations, providing recommendations to mitigate identified risks.
  • Perform in-depth audits and analytical reviews of processes and systems to ensure adherence to compliance standards.
  • Assist in the design and rollout of new or updated processes within the operational compliance team, ensuring seamless implementation.
  • Coordinate and deliver formal training on compliance-related accounting and operational processes to the operations management team.
  • Engage with senior and field management to discuss audit results, compliance issues, and any training needs identified during evaluations.
  • Provide ongoing first-line support for system access, report generation, and dashboard creation, offering daily assistance to the operations team.

Position Purpose

This role is responsible for developing and executing facility upgrade roadmaps in collaboration with the Safety and Operations teams, ensuring all sites comply with Brambles’ Minimum Welfare and Security Standards. It also involves designing and implementing processes and reporting tools to support Facilities and Fleet management, with a focus on analysing trends, identifying risks, and driving cost efficiencies. The position coordinates Capex projects within the SSA Supply Chain, ensuring strategic alignment, stakeholder engagement, and timely, budget-conscious delivery. Additionally, the role oversees lease schedule management, including monthly reconciliations, stakeholder communication, and procurement coordination for lease renewals, ensuring accuracy and operational efficiency in property-related matters.

Key Accountabilities

Safety Compliance and Culture

  • Lead by example to promote a proactive safety, health, and environmental culture across all CHEP SSA, Weatherboard, and Braecroft facilities, encouraging adherence to Brambles Zero Harm objectives.

  • Support the business on specific safety programs, such as pedestrian segregation, machine guarding, and physical security, ensuring alignment with corporate safety standards and site-specific requirements.

Facility Upgrade Roadmap

  • Work with the Facilities Manager, Safety Team and Operations leadership to develop a roadmap to ensure the facilities within the network are at the required standard taking into consideration the phasing and wider network investments in Supply Chain, which may also involve presenting any alternatives to upgrading.

  • Work with the Facilities, Safety and Operations leadership to ensure all CHEP SSA Service Centers, Weatherboard, Braecroft housing and compounds adhere to and maintain Brambles Minimum Welfare Standards and Brambles physical security standards.

Facilities and Fleet Management Support

  • Develop reporting to monitor Facilities and Fleet related expenses and Fleet driver behavior.

  • Complete detailed analysis of Facilities and Fleet reports to provide detailed insights on trends, possible abuse, and opportunities for reducing spending.

  • Provide support to the Facilities Manager to collect and collate Facilities and Fleet feedback from the relevant stakeholders.

Project Co-ordination

  • Coordinate Facilities and National Supply Chain Capex projects to ensure successful completion.

  • Communicate and manage expectations of project business sponsors and key stakeholders.

  • Work with key stakeholders and project team members across all departments to ensure strategic project alignment and successfully deliver results on time and within budget.

  • Document and communicate project progress, status and health.

Lease Schedules

  • Receive monthly Lease schedule from Cushman and Wake.

  • Ensure property rental reconciliation are concluded every month and submitted to finance for payment.

  • Give monthly updates to Cushman and Wake on Lease schedule if any changes.

  • Resolve any invoice queries received from Business and Landlords.

  • Manage the RFS’s process with stakeholders and once approved, submit to Procurement for lease renewals.

Key Requirements

  • Diploma in a related business field

  • 5 years’ work experience in a fast-paced Supply Chain environment

  • Project Co-ordination / Project Administration

  • Developing and analyzing spend reports

  • Experience with Microsoft Office including MS Excel at an advanced level, MS Outlook, MS Word, MS Power Point. Knowledge of Microsoft Project software is advantageous
