Front Desk / Customer Service
Greet, assist, and direct candidates, new hires, visitors, and the general public to the appropriate staff or facility member.
Receive, direct, and relay telephone, email, and other queries promptly and professionally.
Administer parking spaces for visitors and employees (where applicable).
Arrange taxis and other transportation for client staff and visitors as requested.
Book onsite meeting rooms and hospitality according to site procedures and client requests.
Register and distribute incoming and outgoing documents and mail according to local procedures.
Support the coordination of local events, visits, and travel arrangements as required.
Provide high-quality customer service and act as the first point of contact for all front desk enquiries.
Facilities Support / Site Operations
Manage incoming requests via the Facilities Helpdesk and log, track, and close tickets in ServiceNow and Corrigo systems.
Liaise with vendors, contractors, and service providers to ensure timely completion of maintenance and repair works.
Conduct daily checks of meeting rooms, offices, and communal areas, ensuring a professional and well-maintained environment.
Monitor and restock office and kitchen supplies in line with agreed inventory levels.
Assist with office moves, seating plans, and workplace setup as required.
Support workplace projects, fit-outs, and other operational activities under the supervision of the Workplace Manager.
Ensure accurate handover and documentation for all assigned responsibilities during absences.
HSE, Security & Quality
Liaise with site managing agents, building management, and security teams.
Maintain a high level of security awareness and ensure compliance with emergency evacuation and Health & Safety procedures.
Issue ID and access badges for employees, vendors, and visitors, maintaining accurate records.
Monitor and maintain consumables related to office and access control systems.
Maintain and regularly audit the visitor and contractor sign-in logs.
Conduct site inductions for new starters and act as the first line of support for any workplace or safety concerns.
Actively support JLL’s Quality Management and HSE programs.
