What this job involves:

As a Facilities Assistant at JLL's Integrated Facilities Management, you will achieve the timely and efficient delivery of Facility Management services to client's staffs in client's sites and support of their business needs in accordance with the service levels and key performance indicators. This role requires being mature on front desk service and front desk service team management while taking the responsibility to match the service goal by FM and fully understanding and strictly following up company related policy. You will perform switchboard operation while providing guest reception/notice related employee go to front desk for welcome/timely arrange tea lady for tea and monitor the service level. This comprehensive facilities assistant role involves meeting room arrangement & meeting room daily check-up accord to standard while coordinating on any other soft service request and being responsible for relevant vendors management like office cleaning, office green etc. You will be responsible for mail service (receiving and delivery) while conducting seat number checking & updating by request and being in charge of stationery application, directly contributing to JLL's mission of delivering exceptional facilities management excellence through comprehensive front desk services, vendor coordination, and administrative support that ensures operational efficiency, customer satisfaction, and seamless facility operations across integrated facilities management environments.

What your day-to-day will look like:

  • Perform switchboard operation while providing guest reception/notice related employee go to front desk for welcome/timely arrange tea lady for tea and monitor service level
  • Manage meeting room arrangement & meeting room daily check-up accord to standard while conducting meeting room facility checking & setup for comprehensive coordination
  • Coordinate on any other soft service request while being responsible for relevant vendors management like office cleaning, office green etc. for comprehensive vendor coordination
  • Provide mail service (receiving and delivery) while conducting seat number checking & updating by request for comprehensive administrative support coordination
  • Manage stationery application while performing other duties upon request and supporting front desk service team management for comprehensive operations coordination
  • Provide support to Facility manager in purchasing & monthly accounting while ensuring successful completion of scheduled activities for comprehensive management support
  • Deliver prompt and courteous response to client's requests while managing seconded staff and service contracts/suppliers for comprehensive stakeholder coordination
  • Conduct monthly measurement of achievement of KPI while maintaining front desk service maturity and service goal achievement for performance excellence

Required Qualifications:

  • College degree with strong interpersonal skills and communication skills while demonstrating English proficiency (spoken and written) for comprehensive facilities coordination
  • Understanding of front desk service maturity while demonstrating front desk service team management and service goal matching responsibility for comprehensive coordination
  • Experience with switchboard operation while understanding guest reception/notice related employee coordination and tea lady arrangement with service level monitoring
  • Knowledge of meeting room arrangement & meeting room daily check-up while understanding meeting room facility checking & setup coordination according to standard
  • Understanding of soft service request coordination while demonstrating relevant vendors management like office cleaning, office green etc. for comprehensive vendor coordination
  • Experience with mail service (receiving and delivery) while understanding seat number checking & updating by request and stationery application management
  • Knowledge of Facility manager support in purchasing & monthly accounting while understanding scheduled activities successful completion and client requests response
  • Understanding of seconded staff and service contracts/suppliers management while demonstrating monthly measurement of achievement of KPI coordination

Preferred Qualifications:

  • Experience with integrated facilities management services while understanding client's staffs facility management services delivery and business needs support coordination
  • Knowledge of service levels and key performance indicators accordance while understanding company related policy comprehension and strict follow-up coordination
  • Understanding of front desk clerk responsibilities while demonstrating comprehensive front desk service and team management maturity for operational excellence
  • Experience with prompt and courteous client requests response while understanding comprehensive stakeholder coordination and customer satisfaction ensuring
  • Knowledge of vendors management coordination while understanding office cleaning, office green and other soft service providers comprehensive oversight coordination
  • Understanding of administrative support coordination while demonstrating mail service, seat number management, and stationery application comprehensive coordination
  • Experience with facility manager support coordination while understanding purchasing, monthly accounting, and scheduled activities management for comprehensive assistance
  • Background in integrated facilities management while demonstrating comprehensive front desk services, vendor coordination, and administrative support across diverse client environments.
