On-site Role
Genesys is seeking a proactive, service-oriented Facilities Assistant / Coordinator to join our Global Facilities & Real Estate team. Supporting innovative engineering and business teams, this role is essential to delivering a world-class workplace experience.
You will be the “go-to” person for employees and the welcoming face of the office for guests and visitors. This role plays a vital part in shaping office culture, maintaining operational excellence, and ensuring a safe, efficient, and engaging work environment.
Reporting to the Regional Facilities Manager, you will support daily facilities operations, hospitality services, events, vendor coordination, health & safety compliance, and financial tracking — helping create an exceptional employee experience.
· Serve as office concierge/receptionist, welcoming guests and visitors.
· Manage front desk operations and ensure a professional, on-brand reception area.
· Handle employee inquiries and provide outstanding customer service.
· Manage visitor access, badge distribution, parking coordination, and sign-in procedures.
· Support onboarding activities for new hires.
· Assist with daily building operations and respond to facilities-related work requests.
· Coordinate soft services including cleaning, security, catering, furniture, desk moves, and office upkeep.
· Act as site contact for planned and reactive maintenance activities.
· Manage facilities ticketing systems and ensure timely resolution of issues.
· Conduct periodic facility assessments to identify risks and improvement opportunities.
· Maintain sustainability practices including recycling and tracking energy/waste metrics.
· Ensure compliance with health & safety policies and life safety requirements.
· Support planning and execution of office events, conferences, offsites, and engagement activities.
· Coordinate meeting room bookings and ensure proper AV, cleanliness, and catering.
· Monitor inventory of supplies, food, and beverages; manage caterers and vendors.
· Help create a welcoming and energetic office culture.
· Gather and analyze employee feedback to improve workplace culture.
· Manage mail, deliveries, courier services, and stock control.
· Create purchase orders and process invoices in line with approved budgets.
· Assist with budget tracking and operational cost management.
· Maintain documentation including maintenance logs, vendor contracts, and safety records.
· Administrative support for various project.
· Provide notarization support for company documents
· Maintain site security including access control and emergency procedures.
· Participate in emergency response teams and coordinate renewal of course updates (e.g., fire warden, first aid).
· Coordinate safety training and ensure compliance with company safety policies.
· Maintain life safety equipment and support emergency drills.
· Support small office moves, maintenance projects, and workspace improvements.
· Coordinate with external vendors and contractors, including obtaining quotes.
· Maintain strong relationships with building management and service providers.
· Track contracts for repairs and preventative maintenance.
This role requires frequent walking, standing, prolonged sitting, and occasional lifting (up to 30 lbs). Clear vision and hearing are required to perform tasks effectively.
· 2–4+ years of experience in facilities management, hospitality, office management, or corporate services.
· Strong customer service mindset with excellent interpersonal skills.
· Excellent written and verbal communication skills.
· Proactive self-starter with the ability to work independently and as part of a team.
· Strong organizational and multitasking abilities.
· High attention to detail and sound judgment.
· Experience working with external vendors and contractors.
· Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
· Knowledge of sustainability and workplace health & safety practices is an advantage.
· Ability to handle confidential information with discretion.
