JOB SUMMARY:
The External Affairs Administrator is a key member of the Calista Corporation External Affairs team, performing advanced administrative work to support the team’s objectives. Using their knowledge of government and community relations, the incumbent translates departmental goals and objectives into actionable work plans and prioritizes and executes those plans with minimal supervision. The External Affairs Administrator communicates with elected officials, agencies, external organizations, and tribal or community partners on behalf of the organization and must provide prompt, decisive, and professional responses, aligned with Calista Corporation’s values and objectives, to incoming requests, issues, opportunities, and inquiries
ESSENTIAL FUNCTIONS:
- Independently plans, prioritizes, and executes work supporting communications, government and community relations, and rightsholder and stakeholder engagement.
- Translates leadership direction into actionable strategies and work plans, determining appropriate priorities, timelines, and methods of execution based on organizational goals, political and community context, and resource considerations.
- Evaluates incoming issues, requests, and opportunities; determines their significance; decides appropriate courses of action; and recommends or implements responses aligned with organizational strategy.
- Prepares briefing materials, background analyses, and technical written products that require judgment regarding content, relevance, sensitivity, and audience.
- Coordinating meetings and engagements with elected officials, agencies, tribal or community partners, and external organizations; and independently resolves scheduling conflicts.
- Exercises discretion in handling confidential, politically sensitive, or high-impact matters.
- Supports budget development and financial oversight for external affairs activities by tracking expenditures, identifying variances, reconciling event and travel costs, and recommending adjustments to ensure alignment with approved budgets and strategic priorities.
- Monitors policy, government, and community developments; evaluates potential organizational impacts; and adapts plans and priorities in response to changing conditions.
- Maintains contact management and tracking systems, determines appropriate documentation and escalation, and coordinates across departments to ensure commitments are met.

KNOWLEDGE, SKILLS, & ABILITIES:
- Ability to manage multiple complex projects in a fast-paced environment without reliance on prescribed procedures.
- Strong analytical and organizational skills.
- Intermediate to Advanced understanding of project management concepts and project life stages.
- Ability to compile scientific, demographic, and economic data.
- Ability to write clearly and informatively multiple materials for specific proposals, agendas and present numerical data effectively.
- Ability to communicate professionally and effectively with coworkers, clients, and key stakeholders.
- Advanced time management skills.
- Ability to travel to remote Alaska locations and be flexible with working hours during travel.
- Ability to be detail oriented, organized, and proactively follow-up as needed.
- Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals.
- Ability to actively listen, have strong communication skills, and be open to ideas and suggestions.
- Ability to appropriately handle confidential and sensitive information.
- Ability to work in a team environment.
- Knowledge of business software and applications including Microsoft 365 and the ability to learn new applications.
- Ability to read and understand documents.
MINIMUM QUALIFICATIONS:
- Bachelor’s Degree in English, Communications, Public or Business Administration or related field.
- Minimum of two years’ experience and/or training, or equivalent combination of education and experience working in a similar position.
- Proficiency in Microsoft 365 applications and ability to learn new systems.
- Valid state driver’s license and qualified to operate a vehicle under the conditions of Calista’s Driving Policy.
- Ability to work in a Native Corporation multi-business environment, preferred.
- Ability to speak Yupik preferred.
- Ability to pass a drug and background screening.
