Job Description
This is a remote position that requires working from the hospital campus 1-2 times per month.
The role requires working 8 hour day shifts M-F with a preferred start time of 8:30 am.
Experience booking and scheduling appointments for a minimum of one year in a hospital/clinic setting and previous experience using the EPIC electronic medical record is highly preferred.
Compensation placement within the pay range is based on the amount of previous experience a candidate has doing same/similar work.
General Summary of Position Responsibility:
Schedules all operating room procedures and invasive procedures requiring general anesthesia in the operating room and procedure suites at the main hospital and surgery centers.
Essential Job Functions:
1. Schedules all procedures into EPIC information system following established block schedule to accommodate surgeons' and anesthesiologists' schedules.
2. Responsible for scheduling surgical cases at Northbrook and Westchester ASTC, and anesthesia coordination for Lurie cases at Northwestern.
3. Coordinates complex combined surgical cases between OR and different procedural areas (i.e. IR, MRI, CT) and between multiple service lines.
4. Creates case entries and schedules cases for community providers with information provided on reservation forms.
5. Assist providers and offices to schedule time-sensitive cases outside of block schedule in open time where possible.
6. Coordinates changes in operating room schedule with physicians’ offices and location managers. Notifies surgeons, anesthesia and nursing staff of pertinent additions and revisions to schedules. Initiates appropriate process to resolve scheduling conflicts and changes and supports conflict resolution.
7. Processes reservation information for admitting personnel.
8. Notifies anesthesiologist of all special requests for services.
9. Send verification of surgical schedule when appropriate to physicians’ offices in advance for review.
10. Performs daily audits of surgical schedule and reports notable changes to location managers.
11. Participate in daily scheduling huddle with OR managers, Anesthesia coordinator, OR charge nurse and sterile reprocessing to resolve scheduling issues and ensure appropriate staffing and equipment coverage.
12. Work closely with service line office administrative assistants and schedulers to ensure they are maximizing use of their designated block time, and coordinate block releases in EPIC to improve OR utilization
13. Monitors special needs requests (equipment, supplies, rep and staffing support), and communicates with staff and management to ensure appropriate coverage
14. Works with service line office administrative assistants and schedulers to confirm appropriate post-op destination and case order to ensure positive patient experience
15. Responsible for managing in-basket for open-time requests through OR marketplace.
16. Works with revenue cycle coordinator to ensure prior authorizations are secured for next-day surgeries.
17. Inputs anesthesia assignments for operating rooms, procedure suites and imaging suites
Knowledge, Skills and Abilities:
1. High school diploma required.
2. Minimum one year experience working in a hospital within a clinical setting.
3. Working knowledge of medical terminology.
4. Proficiency with computer information system.
