Job Summary

As the Experience Activation Lead, your ability to manage the smallest details with precision will be key to creating extraordinary, easier and personal experiences. You'll support the design and lead the execution of high-impact, high-profile events for a wide range of internal and external audiences. The Experience Activation Lead will operate with high degrees of empathy, creativity and resilience. You'll anticipate project needs, discerning priorities and meeting deadlines with minimal supervision. Responsibilities encompass all aspects of event management including managing vendor relationships, supporting key leaders with ongoing updates, communicating event logistics and conducting post-event results analysis.

Whether supporting leaders or board members, your focus on logistics, details and follow-through ensures every individual feels seen, heard and valued.

Essential Functions

  • Lead execution of events aligned with company direction, ensuring every element is thoughtfully planned and flawlessly delivered.
  • Collaborate across care, coverage and corporate teams to ensure consistency and alignment.
  • Develop briefs, objectives, themes and agendas with precision.
  • Manage vendor relationships and deliverables to ensure match to expectations.
  • Track, analyze and optimize event performance using data, feedback and insights—with a focus on continuous improvement.
  • Create and maintain checklists for every phase of event planning. Build and manage detailed event budgets and timelines, ensuring all milestones are met. Provide periodic updates to leaders for each event.
  • Research, evaluate and select event venues with careful consideration of logistics and experience goals. Help negotiate contracts and finalize all aspects including food, beverage, supplies, audiovisual equipment, travel arrangements, event signage and overall theme/décor.
  • Serve as liaison to vendors for event related matters. Oversee event setup, run-of-show and production with meticulous attention to every detail.
  • Lead post-event communications, reporting and follow-up to ensure accountability. Conduct retro sessions, document lessons learned and collect feedback for future iterations.
  • Support team to develop invitation and prospect lists for attendance. Track participation and provide consistently updated reports to leadership.
  • Responsible for recruiting, mobilizing, staffing and thanking volunteer committees/team members for each event.
  • Communications and Storytelling: Partner with internal communications to craft clear, compelling narratives. Ensure messaging is consistent, authentic and engaging across all platforms and touchpoints. Develop stakeholder communications that are timely, accurate and actionable. Create presentations and talking points that reflect insights and next steps from event feedback.

Qualifications

Required

  • Bachelor's Degree or equivalent In Communications, Consumer Experience, Hospitality Management, HR, Marketing or related field
  • 7 years of relevant experience in event planning, experience design, communications, HR marketing or related field
  • 4 years of relevant experience in a role heavily focused on project management
  • Demonstrated experience in a fast paced, highly matrixed organization with shifting priorities

Preferred

  • Master's Degree MBA or other advanced degree related to marketing or communications
  • Experience working in health care or another mission driven environment
  • CRT-Project Management Professional (PMP) - PMI Project Management Institute
