The Role & What You Will Be Doing 

Support the delivery and execution of the Travel and Expense (T&E) services of the Global Business Services Organization as outlined in the Viatris Global Business Travel Policy. Support communication and issue resolution between our external service providers as well as internal customers.

Ensure all activities are supporting and enhancing the satisfaction of internal and external customers and stakeholders.

Perform job functions in accordance with all applicable Standard Operating Procedures (SOP), federal and state laws, Occupational Safety and Health Administration (OSHA) guidelines, health authority regulations, departmental processes and ensures that all Service Level Agreements and KPIs are met

Global Business Services (GBS) is an organization which offers services to all Viatris units. The goal is to provide scalable, sustainable and streamlined service delivery.

From a shared service concept the employee executes services as agreed with the GBS customers.

Position acts as the first point of contact for employees needing assistance with expense reporting and corporate card inquiries. You will handle high-volume inbound inquiries via chat and email, aiming for first-call resolution to ensure a smooth, compliant, and positive user experience. This role requires high attention to detail, strong customer service skills, and a solid understanding of company travel and expense policies.

Every day, we rise to the challenge to make a difference and here’s how the Expense Reimbursement & Card Services Support Specialist role will make an impact:  

  •  Answer incoming chats and emails from employees regarding expense reporting, and corporate card issues/requests.
  • Resolve basic, common issues such as expense reporting guidance, password resets, missing receipts, corporate card payment declines, credit limit increases, and credit card application processing, along with other duties that may be assigned.
  • Accurately track all chat and email issues/requests utilizing the Viatris ticketing system.
  • Assign advanced issue resolution to the proper T&E members for resolution via the Viatris ticketing system.
  • Identify complex or recurring issues and escalate to Level 2 support or management as necessary.
  • Provide excellent customer experience by assisting end users with patience and empathy.
  • Provide analytics as requested by T&E Management and/or business
  • Perform other duties as assigned.

About Your Skills & Experience 

For this role, we’re looking for a candidate who has an effective combination of the following qualifications, skills and experiences:  

  • Basic understanding of corporate travel and expense reimbursement processes, credit card processes, and policy adherence
  • Must possess excellent analytical skills.  Must have strong communication, organizational skills.  Must be detail oriented, precise and have the ability to multi-task. Ability to work effectively in an international team environment. Has a strong customer focus. Is able to handle multiple systems, may need to use multiple accounting systems.
  • Position functions semi-autonomously.  Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws.  Responsibilities may include addressing complaints and resolving problems.
  • Minimum of a Bachelor's degree (or equivalent). No need additional work experience.
  • Concur knowledge is an advantage.
  • Fluency in spoken and written English & Hungarian. Further foreign language knowledge is an advantage. Ability to read and interpret complex business and/or technical documents.  Ability to write comprehensive reports and detailed business correspondence.  Ability to work with managers or directors and communicate ambiguous concepts. 
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.  Ability to compute rate, ratio, and percent, and to create and interpret graphs.
  • Ability to solve problems with complex variables through non-standardized solutions that require independent judgment and analysis.  Ability to draw inferences and use deductive reasoning with no prescribed procedures to solve complex problems.
  • Typically sitting at a desk or table.  Intermittently sitting, standing, or stooping.  Occasional light lifting or carrying of 25lbs. or less.
  • Normal office and/or remote work environment.
